CheckboxGroup Form Field Type

Overview

The Checkbox group field type renders a group of checkboxes, letting participants select multiple options from a list you define. It's ideal for volunteer preferences, dietary requirements, multi-select interests, or anything where more than one answer can apply at once.

It's available anywhere you build a form: the Entry Form Builder for a single event, and the Entry Form Template Builder for reusable templates, including the template that serves your club's public membership application form.

Who Should Use This Feature

Perfect For

  • Event organisers collecting volunteer shift preferences ("Morning", "Afternoon", "Evening")
  • Riding clubs gathering dietary or accommodation preferences for multi-day events
  • Associations allowing members to select multiple interest areas during applications

Prerequisites

  • An event's entry form: you're an admin, staff with Events and entries access at Manage, or on that event's Event team
  • Templates: admins and staff with Events and entries at Manage; the membership application and member profile templates can also be edited by staff with Members and volunteers at Manage
  • See Staff Access for how access works

Key Features

☑️ Multi-Select Checkboxes

Unlike a radio button or dropdown (single select), a Checkbox Group allows participants to check any combination of options:

  • Each option appears as a labelled checkbox
  • Zero or more options can be selected
  • All selected values are stored together in the participant's form response

⚙️ Configurable Options

Because a checkbox group is meaningless without options, the field editor opens as soon as you add one. In it you set:

  • The Field Label (e.g. "Volunteer Shift Preferences")
  • A Description (optional): instructional text shown above the checkboxes, e.g. "Club events require support from our members. Please advise where you would like to assist:"
  • Checkbox Options (required): type an option and click Add, or press Enter. Add as many as you need; hover an option to remove it.
  • Include "Other" option with free-text field: adds an extra Other: checkbox; when someone ticks it, a box appears so they can type their own answer
  • Whether the field is required (Required Field)

🔀 Works with Conditional Logic

A checkbox group can drive conditional logic in your form: show or hide other fields depending on which options are ticked. Set that up on the builder's Logic tab.

Note: a checkbox group's options are always the list you type. Unlike some other field types, it can't be linked to a data source that fills the options for you.

📊 Where Responses Appear

  • On the registration's detail page, under Entry Form Responses, as a list of the ticked options (plus any "Other" answer). Riders see the same list on their own registration.
  • The answer is also carried into the Entry List, Excel and CSV exports and the registration confirmation PDF, alongside your other custom fields.

How to Use

Adding a Checkbox Group Field

  1. Open the Entry Form Builder for your event (on the event's edit page, in the Entry form section), or the Entry Form Template Builder for a reusable form (Settings → Templates → Form Templates)
  2. In the field palette, click Checkbox group (or drag it onto the form). Its icon is a ticked list, and the hint reads "Tick any that apply"
  3. The field editor opens straight away, because the field needs options before it makes sense
  4. Enter the Field Label (e.g. "Volunteer Preferences")
  5. Optionally add a Description to explain what you're asking for
  6. Type each option and press Enter (or click Add)
  7. Tick Include "Other" option with free-text field if people should be able to write their own answer
  8. Tick Required Field if at least one selection is mandatory (a typed "Other" answer counts)
  9. Move the field into position (drag it, or use the up and down arrows), and save

Viewing Responses

  1. Open the event's registrations
  2. Open a registration
  3. The ticked options are listed under Entry Form Responses
