Overview
Custom entry form field responses (dietary requirements, volunteer preferences, emergency contacts and so on) reach you in three places: a summary column on the Entry List, your choice of columns in an export, and the Entry Form Responses section of the registration confirmation PDF. You no longer have to open each registration one at a time to read them.
Who Should Use This Feature
Perfect For
- Event organisers who use custom form fields to collect additional participant information
- Administrators who export registration data for processing in Excel
- Club secretaries who need custom field data (e.g., membership numbers, dietary info) in their exports
Prerequisites
- You must be an organisation admin, staff with Events access at View or Manage, or on that event's Event team (see Staff Access)
- Your events must use the Entry Form Builder with custom fields configured
Health answers need Events access at Manage. Answers filled from a rider's medical information or inclusive participation details are left out of the Entry List summary, the export dialog and the registration for staff with Events access at View (such as a scorer or steward). Emergency contacts still show. A question you wrote yourself, such as "Any allergies?", that isn't filled from the rider's profile isn't treated as a health answer.
Key Features
📊 Custom Fields on the Entry List
The Entry List has a single Custom / Special Info column that summarises each entrant's answers, not one column per field. It shows the first two answered fields as Label: answer, then +N more if there are others. A dash means the entrant answered none of them.
Two things to know:
- It's a summary, not the full answers. To read everything an entrant submitted, open their registration.
- The column only appears on very wide screens. On a laptop, tablet or phone it's hidden to keep the table readable. If you can't see it, that's why; use the export instead.
For the complete set of answers, side by side and one column per field, use the export below.
📥 Custom Fields in Exports
The Export button opens the Export entry data dialog, where you choose:
- File format: Excel (.xlsx), CSV (.csv) or PDF (.pdf)
- Registration information: which standard registration columns to include, with Select all and Reset (back to the default ticks)
- Custom form fields: which form field columns to include, also with Select all and Reset
Each custom field you tick becomes its own column, headed with the field label, and empty cells appear where a participant didn't answer an optional field. If your event's form has no custom fields, that section of the dialog says "No custom form fields found for this event."
📄 Custom Fields in the Registration PDF
The registration confirmation PDF carries an ENTRY FORM RESPONSES section listing every custom form field, with its label and the participant's answer. A field they left blank is shown as Not provided rather than being left out, so you can see what was asked as well as what was answered.
