PaperSync: Paper Form OCR Ingestion

Overview

PaperSync reads completed paper dressage test sheets so your scorers don't have to re-key the marks. You photograph or scan the sheets and upload them straight into the PaperSync Inbox. Horsify reads the QR code printed on each sheet to work out which score sheet it is, extracts the handwritten marks, and puts them in your PaperSync Inbox for you to review. Approving one posts its marks to the score sheet.

Other scanned pages can be uploaded too, but Horsify can't match them to a form yet: their text is read as plain label-and-value pairs for you to act on yourself. Approving one doesn't create a registration or a member.

PaperSync is included in the Club Site Premium and Riding School plans (clubs that still hold the retired Premium add-on keep it). The $10 Club Site plan doesn't include it.

Who Uses This

  • Organisers and scorers: Bring paper dressage test sheets into Horsify without re-keying the marks
  • Admins, and staff with Events access at Manage: Monitor ingestion status, review the extracted answers and approve or reject each submission

What PaperSync Can Read

PaperSync handles two kinds of page:

Paper Matched by What happens on approval
A printed dressage test sheet The per-sheet QR code Horsify prints on it The movement and collective marks are written onto that score sheet and a provisional result is synced
Any other page, such as a paper entry form or membership application Nothing yet: Horsify can't print other forms with a matching QR code The text read from the page is stored as label-and-value pairs for you to read and act on. Nothing is created for you

The QR code is the whole mechanism. PaperSync matches a photographed dressage sheet to the exact score sheet it came from by reading that code. It does not try to identify an arbitrary form. Print your score sheets from Horsify, and hand those out.

How It Works

1. Print and collect

  1. Print the dressage score sheets from Horsify, so each carries its QR code
  2. Have participants or judges complete them on paper
  3. Photograph or scan the completed pages (JPG, PNG, TIFF or PDF)

2. Send them to Horsify

There are two ways in:

  • Upload files in the PaperSync Inbox: up to 20 files at a time.
  • Scan sheet in the PaperSync Inbox: take photos of the pages with your phone or tablet camera.

A queued submission is picked up within about 30 seconds.

Horsify then validates the file and your subscription, reads the QR code to work out which form or score sheet it is, and extracts the handwriting.

3. Review and approve

Every submission lands in the PaperSync Inbox (Communications → PaperSync Inbox in the organiser menu down the left of every organiser page, at /paper-sync/inbox) with a status of Pending, and nothing is applied until you approve it.

Staff who aren't admins but have Events access at Manage can use the inbox too, but it isn't in their organiser menu at the moment: open it directly at /paper-sync/inbox.

Open a submission to see the extracted values against the scan, then approve or reject it. Rejecting asks for a reason, which is kept on the record.

Approving a form submission does not create a registration by itself. For a generic form, the extracted fields are stored for you to review and act on. It is only the dressage test sheet path that writes back automatically: approving one posts its marks to the score sheet and syncs a provisional result.

Supported File Types

Format Notes
PDF Best quality; supports multi-page
JPG/JPEG Minimum 300 DPI recommended
PNG Minimum 300 DPI recommended
TIFF Accepted

Requirements

  • Active Horsify subscription on an eligible plan
  • A dressage test sheet must have been printed from Horsify, so it carries the QR code PaperSync matches on

Limits

Maximum attachment size 25 MB per file
Files per upload Up to 20 at a time in the PaperSync Inbox
How soon it's picked up Within about 30 seconds of the upload

Emailing forms in isn't available yet. The PaperSync Inbox may show a "Forward paper forms to ..." address, but mail sent to it doesn't reach your inbox at the moment. Use Upload files or Scan sheet instead.

Tips for Best Results

  • Use a flatbed scanner rather than a phone camera where possible
  • Ensure forms are oriented correctly (portrait) before scanning
  • Avoid handwritten corrections over pre-printed text
  • Keep the QR code in frame and unobscured. Without it a dressage sheet can't be matched to its score sheet
  • High-contrast black-on-white printing produces the most accurate OCR results
