Overview
Your organisation's email template overrides are edited with a rich-text (WYSIWYG) editor instead of raw HTML input. This makes customising emails accessible to non-technical users: you can format text, add bold and italic styling, insert links, and structure content visually without writing HTML.
The feature applies to organiser-level email template overrides, which let your club customise the automated emails (such as registration confirmations and reminders) that Horsify sends to participants on your behalf.
Who Should Use This Feature
Perfect For
- Club administrators who want to personalise event confirmation emails
- Non-technical organisers who previously found raw HTML editing difficult or error-prone
- Marketing-focused clubs wanting professionally formatted email communications
Prerequisites
- You must be an organisation admin, or staff with Communications access at Manage, to create or change overrides. Staff with Communications at View can see the page. See Staff Access.
Key Features
Rich Text Editing
The editor provides a familiar word-processor-style toolbar:
- Bold, Italic, underline and strikethrough formatting
- Headings and paragraph styles
- Numbered and bulleted lists
- Hyperlink insertion
- Text alignment
- Undo and redo
- Source code: drops to the raw HTML when you do want to hand-edit it, so nothing that was possible before is lost
Backwards Compatible
Existing templates stored as HTML are automatically rendered in the editor. No migration of existing template data is required.
System Defaults and Overrides
Every email type has a Horsify system default. When you create an override for a template type, your version replaces the default for your organisation's emails. You can reset an override back to the system default, or delete it, at any time.
How to Use
Editing an Email Template Override
- Go to Settings → Templates and choose Email Templates (the Email Templates page).
- You'll see your existing overrides under Your Template Overrides and, below them, the System Templates list.
- To customise a template that isn't yet overridden, click Override next to it in the System Templates list. To start from scratch, click Add Override and choose a Template Type.
- Give the override a Name and Subject, then edit the HTML Body in the rich-text editor. You can also provide a Plain Text Body.
- Click Preview to see the email with sample details, or Send test to me to get a copy in your inbox.
- Tick Active so the override is used, then click Save.
To undo a customisation, use Reset to system default or Delete on the override's row. Either way, your organisation goes back to the Horsify default for that email.
Template types you can override include event registration confirmations, pending and cancelled registrations, event reminders and updates, booking confirmations and membership renewals, among others. In the Template Type list they appear under their system names, such as EventRegistrationConfirmation or BookingConfirmation.
Template Variables
Email templates support dynamic variables for personalisation. Variables appear as {{VariableName}} placeholders and are replaced with real data when the email is sent. Below the editor, This email fills: lists the placeholders the email type you're editing supports. Common examples:
| Variable | Description |
|---|---|
{{FirstName}} |
Recipient's first name |
{{EventName}} |
Name of the event |
{{EventDate}} |
Date of the event |
{{OrganisationName}} |
Your organisation's name |
Spell a placeholder exactly as listed, with no spaces inside the braces: {{ FirstName }} or {{firstname}} isn't replaced. Preview points out any placeholder written the wrong way.
Tip: Type variable placeholders directly in the editor and in the Subject field. They are preserved and substituted at send time.
⚠️ Which variables work depends on the template type. Each email supplies its own set: a lesson email offers things like
{{InstructorName}}and{{LessonDateTime}}, a membership email{{MembershipType}}and{{RenewalAmount}}. A placeholder the sending email doesn't recognise is not an error and is not blanked out: it goes out in the email exactly as you typed it, braces and all. Preview it or send yourself a test before relying on an unfamiliar variable.\n\n---\n\nSource:wiki/features/WYSIWYG_EMAIL_TEMPLATE_EDITOR.md\nLast synced: 2026-10-30 19:15:20 UTC
