Overview
Your organisation's email template overrides are edited with a rich-text (WYSIWYG) editor instead of raw HTML input. This makes customising emails accessible to non-technical users — you can format text, add bold and italic styling, insert links, and structure content visually without writing HTML.
The feature applies to organiser-level email template overrides, which let your club customise the automated emails (such as registration confirmations and reminders) that Horsify sends to participants on your behalf.
Who Should Use This Feature
Perfect For
- Club administrators who want to personalise event confirmation emails
- Non-technical organisers who previously found raw HTML editing difficult or error-prone
- Marketing-focused clubs wanting professionally formatted email communications
Prerequisites
- You must be an admin of your organisation.
Key Features
Rich Text Editing
The editor provides a familiar word-processor-style toolbar:
- Bold, Italic, underline and strikethrough formatting
- Headings and paragraph styles
- Numbered and bulleted lists
- Hyperlink insertion
- Text alignment
- Undo and redo
- Source code — drops to the raw HTML when you do want to hand-edit it, so nothing that was possible before is lost
Backwards Compatible
Existing templates stored as HTML are automatically rendered in the editor. No migration of existing template data is required.
System Defaults and Overrides
Every email type has a Horsify system default. When you create an override for a template type, your version replaces the default for your organisation's emails. You can reset an override back to the system default, or delete it, at any time.
How to Use
Editing an Email Template Override
- Open the organiser menu, go to Communications → Email Templates (the Email Templates page).
- You'll see your existing overrides and, below them, the list of system templates.
- To customise a template that isn't yet overridden, click + Add Override next to it in the System Templates list. To start from scratch, click Add Override and choose a template type.
- Give the override a Name and Subject, then edit the HTML Body in the rich-text editor. You can also provide a plain-text version.
- Tick Active so the override is used, then click Save.
Template types you can override include Registration Confirmation, Registration Pending, Registration Cancellation, Event Reminder, Event Update and Booking Confirmation, among others.
Template Variables
Email templates support dynamic variables for personalisation. Variables appear as {{VariableName}} placeholders and are replaced with real data when the email is sent. Common examples:
| Variable | Description |
|---|---|
{{RecipientName}} |
Recipient's name |
{{EventName}} |
Name of the event |
{{OrganisationName}} |
Your organisation's name |
{{ConfirmationUrl}} |
Link to confirm or view the registration |
Tip: Type variable placeholders directly in the editor and in the Subject field — they are preserved and substituted at send time.
⚠️ Which variables work depends on the template type. Each email supplies its own set — a lesson email offers things like
{{InstructorName}}and{{LessonDateTime}}, a membership email{{MembershipType}}and{{RenewalAmount}}. A placeholder the sending email doesn't recognise is not an error and is not blanked out: it goes out in the email exactly as you typed it, braces and all. Send yourself a test before relying on an unfamiliar variable.\n\n---\n\nSource:wiki/features/WYSIWYG_EMAIL_TEMPLATE_EDITOR.md\nLast synced: 2026-10-06 06:10:50 UTC
