Custom Form Fields on Entry List & Exports

Overview

Custom entry form field responses (dietary requirements, volunteer preferences, emergency contacts and so on) reach you in three places: a summary column on the Entry List, your choice of columns in an export, and the Entry Form Responses section of the registration confirmation PDF. You no longer have to open each registration one at a time to read them.

πŸ“Š Custom Fields on the Entry List

The Entry List has a single Custom / Special Info column that summarises each entrant's answers β€” not one column per field. It shows the first two answered fields as Label: answer, then +N more if there are others. A dash means the entrant answered none of them.

Two things to know:

  • It's a summary, not the full answers. To read everything an entrant submitted, open their registration.
  • The column only appears on very wide screens. On a laptop, tablet or phone it's hidden to keep the table readable. If you can't see it, that's why β€” use the export instead.

πŸ“₯ Custom Fields in Exports

The Export button opens a dialog where you choose:

  • Export format β€” Excel (.xlsx), CSV (.csv) or PDF (.pdf)
  • Which standard registration columns to include, with Select all / Deselect all
  • Which custom form field columns to include, also with Select all / Deselect all

Each custom field you tick becomes its own column, headed with the field label, and empty cells appear where a participant didn't answer an optional field. If your event's form has no custom fields, that section of the dialog tells you so.

πŸ“„ Custom Fields in the Registration PDF

The registration confirmation PDF carries an ENTRY FORM RESPONSES section listing every custom form field, with its label and the participant's answer. A field they left blank is shown as Not provided rather than being left out, so you can see what was asked as well as what was answered.


How to Use

Viewing Custom Fields on the Entry List

  1. Open your event and go to its Entry List
  2. On a wide screen, the Custom / Special Info column shows a short summary per entrant
  3. Click View on an entry to open the registration and read every answer in full

Exporting Custom Field Data

  1. From the Entry List, click Export
  2. Choose your export format β€” Excel, CSV or PDF
  3. Tick the registration columns you want (or Select all)
  4. Tick the custom form field columns you want (or Select all)
  5. Export β€” each custom field you selected appears as its own labelled column
