Audience: Staff rostered by a riding school or club — stable hands, instructors, office and grounds staff


Overview

My Shifts is your roster. It shows what you are working this week, and after each shift you record what time you actually started and finished so you are paid for the hours you really did.

Since September 2026 it is the Week view of My day — one page for everything you do at the club, with the day's shift, jobs and (for coaches) lessons on the Day view and the week on this one. Go to: your name in the top right → My day → Week. The old address, horsify.com.au/my-shifts, still works and brings you straight to the Week view.

Today's shift is also on the Day view, with the same timesheet under it, so you can enter your hours from whichever view you have open.

It is built for a phone. Checking Saturday's start time while you are standing in the feed room is the main thing it is for.


Getting access

You appear here once your manager adds you to the club's staff roster using the same email address as your Horsify login. There is nothing to accept and no invitation to wait for — open the page and your shifts are there.

The My day item only appears in your menu once you are on somebody's staff roster (or somebody's instructor). If your manager has just added you and it is not there yet, give it about five minutes — that check is cached — or go straight to horsify.com.au/my-shifts, which works the moment you are added.

Three things sometimes go wrong:

"You're not on any organisation's staff roster yet." Your manager either has not added you yet, or added you with a different email address. Tell them which address your Horsify account uses — that page shows it to you, so you can read it straight off the screen.

You haven't confirmed your email address. Your shifts link to your account only once Horsify knows the address is yours. Signing in with a code sent to your email confirms it, so if you signed up with a password, sign out and sign back in with an email code, then open the page again.

You have no Horsify account. Sign up with the address your manager has for you. The account is free and you do not need a membership, a horse or anything else on it. Being on the staff roster is not the same as being a member of the club, and you do not need to be one.

If you work for more than one club on Horsify, a picker appears at the top listing each club that rosters you.


Reading your week

Each shift is a card:

  • The day and date on the left.
  • The start and finish time, and how many hours that is.
  • Your role or task for that shift and any note from your manager — "bring the rugs in if it rains" lives here.
  • A status on the right.

Today's shift has a highlighted border. Use the arrows to look ahead or back, and This week to come home.

Status Meaning
Upcoming The day has not arrived. Nothing to do.
Enter times The shift has happened and your hours are not in yet. This is your to-do.
n h entered You have recorded your times. Your manager still has to approve them.
Approved Signed off and included in the pay run.

Your tasks

Under each shift you'll see the jobs your manager has put on it — "Farrier visit 9:00–12:00", with the horses listed. As you go:

  • Tick each horse with the tick button beside it. On a farrier, worming, dental or vet job, ticking the horse records the visit against that horse and rolls its next due date forward, so nobody has to type it in later. Skip a horse that didn't get done ("abscess") and its reminder is pushed out a week instead.
  • All done finishes the whole job in one tap (any horses still unticked are ticked for you).
  • Can't do this hands the job back. It goes on your manager's unassigned list and they're told straight away.

Jobs that aren't inside one of your shifts — a day you're not rostered — appear under Also on your list. And if you spot something that needs doing ("Rio's off side hind shoe is loose"), use Spotted something that needs doing? at the bottom of either view: it goes onto your manager's list with the horse attached. You can dictate it.

You'll be reminded without having to check: a Tomorrow message the evening before (in the app and by email), a Starting soon nudge half an hour before a timed job, and — when your manager presses Publish day — one message listing your whole day in order. If the school has text reminders on, the same arrive by text.

Add a task by text

If your school has its own SMS number and your mobile is on your staff record, you can text it a task instead of finding the app: TASK farrier Sun 9-12 Biscuit Rio Comet puts it on your own list (add , Sally at the end to put it on someone else's). The reply tells you what was understood. Text TASK alone for the format.

No signal in the feed room

The page keeps the last week it loaded. If your phone has no signal, you still see your shifts and tasks as they were, with a banner saying so, and every tick, All done or Can't do this you make is queued and sent the moment you're back in range — the horse's care record is updated then, exactly as if you'd ticked it live. A job that someone else finished, or took off you, while you were out of range is left as it was and you'll see the current state once you reconnect.

Recording your hours

Tap the shift, then fill in three things:

Field What to put
Started The time you actually started — not the time you were rostered, if they differ.
Finished The time you actually finished.
Break (min) Unpaid break in minutes. Put 0 if you did not take one.

Paid hours update live underneath as you type, so you can see the number before you commit to it. Then press Submit times.

There is also a note field. Use it for anything your manager needs to know about the hours — "stayed back, farrier ran late" — because that note travels with the shift to whoever approves it. On a phone it has a microphone: tap it and say the note.

You can update your times as many times as you like until your manager approves the shift.

Things it will not let you do

Enter times for a shift that has not happened yet. The form only opens once the day arrives. Guessing your hours in advance is exactly how people end up paid for a shift they later swapped.

Save times that add up to nothing. An identical start and finish, or a break longer than the hours worked, is refused — because it would record you as having worked and paid you for none of it, without anything on screen looking wrong.

Change an approved shift. Once your manager has signed it off it is part of a pay run and is locked. If something is wrong, tell them — they can withdraw the approval, fix it, and approve it again.

If there is no form

If your club records hours for you, you will see "Your manager records hours for this organisation" instead of the fields. That is a club-wide setting, not something about you. Your roster still shows here, and your hours still get paid — your manager is simply entering them at their end.


Overnight shifts

A shift like 10:00 PM – 2:00 AM is understood as running past midnight, and counts as four hours rather than something impossible. Enter your real times exactly as they happened; you do not need to split the shift or do anything special.


What happens next

Your times go to your manager, who approves each shift at the end of the pay period. Approved hours go into the file that is imported into the club's payroll system.

Two things worth knowing:

  • A shift you never entered times for is not lost. If your manager approves it as it stands, it is paid at the rostered hours. Entering your times matters when what happened differs from the plan.
  • You do not get a payslip here. Horsify records the hours; your pay, tax and super come from the club's payroll system exactly as before.

Questions your manager answers, not Horsify

Horsify is the record of hours, not the roster's author. For any of these, talk to whoever runs your roster:

  • Being rostered for a shift you cannot work
  • Swapping a shift with someone
  • A shift missing from your week, or one that should not be there
  • A rate or pay question
  • Leave and time off

Troubleshooting

Problem Cause and fix
There's no My Shifts in my menu It is inside My day now (the Week view), and My day appears once you are on a roster; that check is cached for about five minutes. Go to horsify.com.au/my-shifts directly — if your shifts are there, the menu will catch up.
The page says I'm not on any staff roster Your manager has not added you, or used a different email. The message shows the address your account uses — give them that one. If the address is right, check it's confirmed: shifts only link to a confirmed address.
My shifts are missing this week Check you are looking at the right week, and — if you work for more than one club — the right club in the picker at the top.
"You can't submit times for a shift that hasn't happened yet" Come back once the day arrives.
"This shift has already been approved" It is locked in a pay run. Ask your manager to withdraw the approval if it needs correcting.
"Start and finish times can't be the same" A typo in one of the times — check AM and PM as well as the digits.
"The break can't be longer than the shift" The break is in minutes, not hours. A one-hour lunch is 60.
"Break must be between 0 and 720 minutes" 720 minutes is twelve hours — the largest break the form accepts. Check you haven't typed hours where minutes belong.
"You're offline — this is your week as it was last loaded" Your phone can't reach Horsify. Ticks you make are queued and sent when you have signal again; the page refreshes itself once it can.
