Overview

A horse movement record is a short written note of a trip your horse makes from one property to another: where from, where to, who is receiving the horse, the date, and which horses went. Horsify lets you create one for any trip, not only for events: agistment, a lesson or clinic, a sale, breeding, a vet visit, or simply moving home.

You fill it in on your phone, sign it by typing your name, and download a PDF to take with you. Horsify keeps the signed record for two years so you can find it again if a biosecurity officer asks.

Event declarations already include a movement record. If you entered an event through Horsify and signed its health declaration, you don't need a separate one for that trip.

When Queensland asks for one

Queensland's biosecurity rules ask for a movement record whenever horses move between properties, not just to events. The record needs:

  • the name of the person completing it
  • where the horses are moving from
  • where they are moving to, and the name and address of the person receiving them
  • the date of movement
  • the species and breed
  • a description of each horse

A copy must travel with the horses when they cross a cattle tick line, and the record must be kept for 2 years. Any format is accepted, including an electronic one.

Horsify's movement record has a place for each of the details Queensland asks for. Rules differ between states, so check your own state's requirements too. Queensland's guidance is on the Business Queensland website.

Where to find it

  1. Open the Horses tab (on a computer, My horses from the menu).
  2. Tap Health & care on the horse that is travelling.
  3. Choose the Movements tab (on a computer it reads Movement Records).

You can also go straight there with a link ending in ?section=movements, for example /rider/horses/<horse>/health?section=movements.

How to create a movement record

Tap New movement record. The form has four steps.

Step 1: Horses and date

  • The horse whose page you are on is already ticked. Tick any other horses travelling on the same trip. You can add your own horses and any horse shared with you.
  • Set the Date of movement. The Departure time is optional.

Step 2: Moving from

You don't need to retype places you've used before. You can fill this in three ways:

  • Tick My property to use the address and PIC on your rider profile. The fields lock while it's ticked; untick it to type something else.
  • Choose from Recent places: places from your earlier movement records, venues of events you've entered (from the last two years, plus events coming up in the next 60 days), and the properties on your signed event declarations. Each one shows why it's there, for example Event: Spring ODE, 16 Sep 2026. Picking one fills in the name, address, state, postcode and PIC.
  • Type it in.

Horsify starts you off with where you last moved horses from, on your last signed movement record or event declaration. On your first record, it starts from My property if your profile is complete. Check it's right for this trip.

My property only appears once your profile has your street address, suburb, state, postcode and PIC. Until then the form tells you what to add, with a link to your profile.

  • Property name
  • PIC (Property Identification Code)
  • Address, State and Postcode

Step 3: Moving to

The same My property tick box and Recent places list are here too. A place you've picked for one end of the trip isn't offered for the other.

Ticking My property for Moving to treats the trip as coming home. Horsify sets the purpose to Returning home, puts your name as the person receiving the horses, and ticks Their address is the same as the destination. You can change any of these.

  • Property or venue name, PIC (if known), Address, State and Postcode
  • Person receiving the horses: the name of whoever is taking the horses at the other end (the agistment owner, the buyer, the vet clinic).
  • Tick Their address is the same as the destination if they live or work at that property. Otherwise type Their address. You need one or the other before you can sign.

Picking an event venue from Recent places sets the purpose to Event or competition if you haven't chosen one yet.

Step 4: Trip details

  • Purpose of the trip: Agistment, Lesson or training, Sale, Breeding, Veterinary, Event or competition, Returning home, or Other (tell us what it's for).
  • Vehicle rego (optional)
  • Crossing a cattle tick line? Answer Yes or No. If you're crossing a cattle tick line, a copy must travel with the horse.
    • If Yes, say whether the horses were Treated for ticks before leaving?, and if so the Treatment date and Product used.
  • Hendra vaccination status (optional) and Notes (optional).

Save or sign

  • Save draft keeps the record so you can finish it later. It shows as Draft, not finished.
  • Save and sign saves it and opens the signing step. Type Your full name. Typing your full name is your signature, and it confirms the details are true and correct. Tap Sign. Nothing is emailed to anyone when you sign.

Horsify checks the record is complete before it can be signed. If something is missing, such as the receiving person's name, it tells you what to add.

Your movement records list

Each record shows as a card, newest first, with:

  • the record number (for example HMR-3F2A9C1E) and the date
  • where from and where to
  • the horses on the trip and who received them
  • a status badge: Draft, not finished (amber) or Signed (green)
  • Download (PDF), Edit, and Sign (drafts) or Delete (drafts only)
  • Keep until a date two years after the movement, on signed records

A record that covers several horses appears on every horse in it. If a horse is shared with you, you'll see the owner's signed records for it (not their drafts) and can download them, but only the person who created a record can change it.

The PDF

Download (PDF) gives you a one-page HORSE MOVEMENT RECORD in the same layout as the event version. It includes the record number, movement details, origin and destination with PICs, the receiving person, transport and tick details, each horse's breed, colour, sex, age and microchip, and your signature. Save it to your phone or print it to carry in the float.

A draft PDF is clearly marked DRAFT, NOT SIGNED.

Keeping records for 2 years

  • A signed record can't be deleted until two years after the date of movement. The Delete button is hidden and the card shows Keep until that date.
  • Drafts can be deleted at any time.
  • Editing a signed record turns it back into a draft, and you sign it again. It stays protected from deletion, because it has been signed before.
  • Each horse's details are copied onto the record when you save and sign it, so the record stays true even if you later update the horse's profile.

Frequently Asked Questions

Do I need one for every trip?

That depends on your state. In Queensland, a movement record is needed whenever horses move between properties. Check your own state's rules.

Who is the "person receiving the horses"?

Whoever takes responsibility for the horses at the destination: the agistment owner, the new owner after a sale, the stud, the clinic. If it's your own property, it's you.

Why isn't My property showing?

It appears once your rider profile has your street address, suburb, state, postcode and PIC. The form tells you what's still missing.

Where does the Recent places list come from?

From your own movement records, the venues of events you've entered (from the last two years, plus events coming up in the next 60 days), and the properties on your signed event declarations. You'll see each place once, with the most recent first.

I forgot to add a horse. Can I fix it?

Yes. Tap Edit, tick the horse, and sign again.

Can I delete a signed record by mistake?

No. Signed records are kept for 2 years and can't be deleted before then.

Does this replace the event health declaration?

No. For events that ask for a health and movement declaration, keep completing that one. It already includes a movement record. Use this for every other trip.
