Overview

Agistment keeps your paddocks, yards and stables, the horses in them, and your agistment agreements in one place. You can see which horse is where, rest a paddock and be told when it's ready again, keep paddock jobs on a schedule, and have agreements signed electronically.

Agistment is included in the Riding School plans and Club Site Premium. It isn't part of the $10 Club Site plan.

Go to: Organisation menu → Agistment.

The page has five tabs: Overview, Map, Paddocks & stables, Agistees & agreements and Terms.

Overview

The top of the page counts your paddocks, yards and stables, the horses placed against your total capacity, your active agreements, and any waiting for a signature.

Needs attention lists what to deal with, for example:

  • a paddock that is due to be spelled (it has been grazed longer than its limit)
  • a paddock that is ready to use again after a rest
  • a paddock job that is due or overdue
  • an agreement that ends in the next 14 days, or has ended with horses still shown in a paddock
  • a signing link that has expired, or an agreement still waiting for a signature

Admins, and staff with the Agistment area, also get notifications for these (paddocks to spell or ready again, jobs due, leases ending or ended, agreements unsigned after 7 days), so nothing waits for someone to open the page.

The paddock map

The Map tab shows your property from above, with each paddock, yard and stable outlined and coloured by what it's doing today: available, occupied, full, resting, due to spell or ready again. Each one is labelled with how many horses are in it.

Put your paddocks on the map

Add your paddocks under Paddocks & stables first. Then, on the Map tab:

  1. Find your property. The map opens on your venue when it has an address. Otherwise type the address into Find an address above the map to go straight to it, or tap the location button to go to where you are. If your organisation has no venue yet, tap Add your property under Where is your property? next to the map and enter its address. The map opens over it from then on.
  2. Under Not on the map yet, tap Draw beside a paddock.
  3. Tap each corner of its fence line in order. The area is worked out as you go.
  4. Drag a corner to move it, or drag the small point between two corners to add one. To remove a corner, right-click it (on a phone, press and hold).
  5. Tap Save outline. Tick Set [paddock name]'s area to … if you want the drawn area used as the paddock's size.

To change an outline later, tap the paddock and choose Redraw outline. Remove from map takes the outline away and leaves everything else about the paddock as it was.

Save the map's view

Once your paddocks are drawn, you can save how the map is framed. The Map tab then opens straight on a satellite picture of your property, instead of loading the live map on every visit.

  1. Move and zoom the map until it shows your paddocks.
  2. Tap Save this view.

Your paddocks are outlined and coloured on the picture as usual, and you tap one to see who's in it. Drawing or redrawing an outline, moving horses or using Find an address brings the live map back while you do it, and the picture returns when you save or cancel.

To change the view, tap Reset view, frame the map again and tap Save this view. Always open the live map instead removes the saved view. Only people who manage agistment can save or reset it.

Move horses on the map

  1. Tap the paddock the horses are in. Its horses are listed beside the map.
  2. Tick the horses that are moving (or Select all) and tap Move.
  3. Tap the paddock they're going to on the map, or choose it from the list.
  4. Tap Move to ….

Each horse is moved just as it would be from the paddock's own page, and its history is kept. You're warned if the paddock they're going to is resting or would be over its capacity.

Paddocks, yards and stables

Add one

  1. Go to Paddocks & stables and tap Add paddock, yard or stable.
  2. Choose the kind (paddock, yard or stable), give it a name, and set how many horses it takes.
  3. Add the property, the area in hectares, its features and notes, and its usual rate per day, per week or per month if you like.
  4. For a paddock, fill in Spell after this many days of grazing. Horsify tells you when a paddock has been grazed that long without a break.

Each card shows the paddock's status:

Status Means
Available Empty and ready.
Occupied 3/4 Horses in it, with room for more.
Full At its capacity. Capacity is a guide: you can still move in another horse, and Horsify warns you.
Due to spell Grazed past its limit. Rest it when you can.
Resting until a date Being rested.
Ready again Its rest has ended and nobody has moved back in.

Yards and stables are never due to spell.

A paddock you no longer use can be retired. It keeps its history and can be reinstated.

Move horses in, out and around

Open a paddock to see the horses in it now.

  • Move a horse in: tap Move a horse in and pick the horse, or type a name for a horse that isn't on Horsify.
  • Move to another paddock, or out: tap Move or move out beside the horse, choose Move to another paddock or Move out (leaving), then Confirm.

Every move is kept. Who has been here lists every horse that has used the paddock, with its dates.

Rest a paddock

  1. Open the paddock and go to Rest and grazing. It shows how long the paddock has been grazed and when it's due to be spelled.
  2. Choose a Rest until date and tap Rest this paddock.
  3. If horses are still in it, tick Move the horses out today, or move them to another paddock first.

You're reminded when the rest is over and the paddock is ready to use again. To end a rest early, tap End the rest now.

Paddock jobs

Keep regular work on a schedule: slash, harrow, seed, fertilise, spray, or anything else you name.

  1. Open the paddock, tap Add a job, choose the job, how often it repeats, and when it's next due.
  2. When it's done, tap Done, check the date, add a note if you like, and Save.

The next due date moves on from the day it was done, and the Maintenance log keeps who did it and when. A job that falls due appears in Needs attention and sends a reminder to admins and Agistment staff.

Agreements

Agistees & agreements lists every agreement. Filter by Awaiting signature, Active, Drafts or Ended.

Write a new agreement

  1. Tap New agreement.
  2. The agistee: find them in your clients. Their name, address, phone and email fill in from their Horsify profile, and you can change anything (the agreement keeps its own copy). Someone new? Tap Add a new client.
  3. Horses: add one of their Horsify horses, or Add a horse by name. Record the microchip number, Hendra vaccination status and date, breed, colour, sex and date of birth. For a horse from their Horsify profile, anything you leave blank is filled from the horse's own records when you save.
  4. Where, how long and how much: tick the paddocks, yards or stables, choose Short term (with an end date) or Long term (until either side gives notice), the start date, the notice period, the care type and the rate per day, week or month.
  5. Terms and conditions: choose your terms, and add any special conditions for this agistee.
  6. Tap Save draft.

The rate is a record of what was agreed. Horsify doesn't invoice or charge agistment fees.

Get it signed

From a draft, choose one:

  • Email it to sign: the agistee gets a link that lasts 14 days.
  • Sign now on this device: hand them your phone or tablet. The session lasts one hour.
  • Get a link to share: copy the link and send it your own way.
  • Upload signed copy: if it was signed on paper, upload a scan (PDF, JPG, PNG or WebP, up to 10 MB).

The agistee reads the terms to the end, can correct their contact details and their horses' details, types their name and signs. You get a notification when it's signed, and the agreement becomes Active.

A signed agreement can't be edited. Download PDF gives you a copy, signed or blank to print.

End an agreement

Open an active agreement and use End this agistment. Choose the last day (today, a past day, or a day ahead when notice has been given) and, if you like, move their horses out on that day. Agreements with an end date end by themselves, and you're told 14 days before.

Terms and conditions

Keep your agistment terms on the Terms tab. If you don't have any, tap Start from the Horsify template and adapt it, or Write my own. It opens with a note that it's a starting point, not legal advice, so have it checked before you use it.

Changing terms creates a new version. Each agreement keeps a copy of the terms exactly as they were when it was sent.

Who can use it

Admins, and staff given the Agistment area in their access (see Staff Access). Uploaded paper copies and agreement PDFs are kept privately: they open only for people who can use Agistment in your organisation, never through a public link.
