Audience: Riding school coaches and instructors — the person standing in the arena teaching the lesson
▶ Watch: My Day: your lessons and checking riders in (0:58)
Overview
My day is your working day on your phone, and the one place in your menu for it. On the Day view: the lessons you are taking today, in order, with the three things you do to a lesson while you are on your feet — mark the rider arrived, put them on a horse, and mark the lesson done and write (or dictate) a note about it — plus your shift with its timesheet, the day's jobs, and a way to raise a task you have spotted. The same page has a Week view (your roster and every shift's hours) and, if you are also a member of the school, a Calendar view (the diary filtered to you, and your calendar feed) and an Availability view.
Go to: your name in the top right → My day. You can also go straight to horsify.com.au/riding-school/my-day. The views are the row of buttons under the title — Day · Week · Calendar · Availability — and each has its own address (?view=week and so on) if you want to bookmark one.
It is built for a phone held in one hand at the arena gate. Everything else about a booking — confirming it, moving it, cancelling it, taking a payment — stays with the office, because each of those has money or a message to the client attached and must not happen by accident under a glove.
If you work at more than one club, a picker appears at the top listing each one. Each is a separate day: its own lessons, its own shift, its own horses.
If you used My Shifts or the Instructor Dashboard before: they are here now. My Shifts is the Week view; the dashboard's calendar, availability and calendar feed are the Calendar and Availability views; and its bookings table is the Day view, where check in, complete and no show already lived. The old addresses still work and bring you here.
Times are shown in the school's clock, not your phone's — so a coach travelling still reads the day the school is running.
Getting access
You appear here once the school adds you under Instructors using the same email address as your Horsify login. There is nothing to accept and no invitation to wait for — open the page and your lessons are there.
The My day item only appears in your menu once you are somebody's instructor. If the school has just added you and it is not there yet, go straight to horsify.com.au/riding-school/my-day, which works the moment you are added.
Two things sometimes go wrong:
"You're not set up as an instructor yet." The school either has not added you under Instructors, or added you with a different email address, or your instructor record has been made inactive. That message shows you the address your Horsify account uses, so you can read it straight off the screen and give them that one.
You have no Horsify account. Sign up with the address the school has for you. The account is free, and you do not need a membership, a horse or anything else on it. Coaching for a school is not the same as being a member of it, and you do not need to be one.
Being on the school's staff roster is a separate thing again — that is what gives you a shift, a timesheet and jobs on the page. Many coaches have both, and someone on the roster who coaches nothing (a stable hand, the office) gets the same page with no lesson section.
Reading your day
Use ‹ and › to move a day at a time and Today to come home. The date sits on the right.
At the top, if you are also rostered that day, is your shift — "On shift 8:00 am – 1:00 pm", the number of lessons and how many are done, and a status on the right (Upcoming, Enter times, n h entered, Approved). Tap the shift to enter your hours once the day has arrived: started, finished, unpaid break and a note for your manager, with the paid hours worked out underneath as you type. It is the same form as the Week view, so it does not matter where you fill it in.
Any jobs on that shift ("Farrier visit 9:00–12:00") appear under Jobs and are ticked off here, horse by horse. So does anything you have put your hand up for at this club that day — a helper job at the show, a work party — with a link through to My jobs if you need to pull out.
At the bottom, Spotted something that needs doing? raises a task on the spot — "Rio's off side hind shoe is loose", with the horse attached and a date — and it lands on your manager's list. You can dictate it.
Then the lessons, in time order. On today, a red Now line is drawn at the current time so you can see at a glance what is behind you.
Each lesson card shows the start time, the length in minutes, the rider's name and age, and a line underneath with the lesson type, the horse and the arena. A status pill sits on the right.
The lesson you are on carries the buttons. That is the first lesson of the day that still has something to do and has not been over for more than a quarter of an hour: its card is outlined and shows Check in / No show, or Complete once the rider is in. Every other card opens the detail sheet when you tap it.
A group lesson is one card. The riders are listed inside it, each with its own Check in (or Allocate horse when it needs one), and Complete lesson for everyone checked in finishes the whole lesson in one tap.
Some other things you will see:
- "Sally has no horse allocated yet." A warning at the top of the day naming every rider still without a horse, so you find out before they arrive rather than at the mounting block.
- A medical note in red on the lesson you are on, if the rider's profile has one.
- "No lessons on Tuesday", with your next teaching day and a Jump to … button when the day is empty.
- Cancelled lessons are hidden. A Show n cancelled link at the bottom brings them back.
- "Only your own lessons are shown." My day is your list, not the school's diary — the office sees everybody's in the appointment book.
Lesson notes
▶ Watch: Writing lesson notes (1:03)
This is the part most coaches are looking for. Tap a lesson, then "Add a note" — or write the note as you finish the lesson, inside Complete lesson. Both write the same note.
Writing one
Tap the lesson to open it, then:
- Add a note (it reads Edit note once there is one) — write the note without changing anything else about the lesson. Press Save note.
- Complete lesson — the same Lesson note field sits above the button, so the normal end of a lesson is one action: type what happened, press Complete lesson, and the note and the completion are saved together.
The field is labelled Lesson note (optional) and takes plain text. Saving an empty note clears whatever was there.
Dictating it
On a phone, a microphone sits in the corner of the note box. Tap it, say the note, tap it again to stop. What you say is added to whatever is already in the box — so you can type a bit, dictate a bit, and tidy it up by hand — and while you are talking a Listening… line under the box shows what is being heard before it lands.
Say the punctuation: "full stop", "comma", "question mark", "new line" and "new paragraph" become the mark. The first word of a sentence is capitalised for you. ("Period" is left as a word, because "a period of walk" is horse talk.)
Two things worth knowing:
- The first time, your phone asks whether Horsify may use the microphone. Allow it. If you said no by mistake, the mic button tells you it is blocked and it is switched back on in your browser's settings for the site — Horsify cannot ask again itself.
- The microphone only appears where your phone's browser can do speech recognition — Safari on iPhone and iPad, Chrome on Android, and Chrome, Edge and Safari on a computer. Where it is missing, the box is an ordinary text box, and the microphone key on your phone's keyboard still works in it.
Dictation runs on your phone's own speech recognition (Apple's on an iPhone, Google's on Android), so it needs whatever signal that needs. With no signal, type the note: saving it is queued like any other change.
The same microphone is on the note under your shift's timesheet and on the box where you raise a task.
On a group lesson, completing everyone at once shares one note across the riders you are completing. Write a note that is true of all of them, or write each rider's note separately from their own row first.
Where the note goes
The note is saved to that rider's progress record at this school, not to the booking. The office reads it at Clients → the client → Progress → "Recent lesson notes", which lists the five most recent notes with the date, the lesson type and the coach who wrote it.
That is also why the note follows the rider rather than the class: it is the record of how that rider is going.
Last week's note is already on the card
When you open a lesson, the Notes section shows up to three things, and they are different:
| What you see | What it is |
|---|---|
| A quoted line with the client's name after it | The client's own note, typed when the lesson was booked — "she's been off with a cold, take it easy". Not yours, and not editable here. |
| A line marked – this lesson | Your note on this lesson, if you have already written one. |
| A line marked – last lesson, with a date | The note from this rider's previous lesson at this school, whoever wrote it. |
That last one is the point of the feature: you pick up where the last lesson left off without having to go and look it up.
Who can read it
The note is not shown to the rider on the booking, in any confirmation or in any reminder email.
It is not a private note, though: at a school that has set up a progress curriculum, the rider (or their parent) can see the five most recent lesson notes on their own My progress page. The hint under the box says so. Write them the way you would be happy for the rider to read them — which is the way you would want to write them anyway.
The rest of the lesson card
Tap any lesson and the sheet shows the whole picture: the time, the lesson type and the arena, and the status.
Calling the rider. Call and Text buttons where there is a phone number on file. On a child's lesson they read Call parent and go to the parent's number, because the booking is the parent's.
The horse. The horse row shows what the rider is on, and how many hours that horse has already worked today. Change opens the school's horses:
- Suitable horses first, each with what it has worked today and this week, and the level it suits.
- Horses that can't be offered are greyed out with the reason — "Already with Sally at this time", "At daily limit · 4 of 4 h", "Blocked · lame off fore", "Not available for lessons", "Not used for this lesson type" — so you are never left wondering where Biscuit went.
- Rider brings own horse records that they are on their own horse and needs no school horse.
One horse, one rider at a time: if someone else has that horse in an overlapping lesson, Horsify refuses the change and names the rider. And once a lesson is completed, cancelled or a no-show, its horse can no longer be changed — tell the office if it was recorded wrongly.
The rider. Their experience level (or "Level not recorded"), and whether there is a waiver signed or no waiver on file. On a child's lesson, the parent's name. A Progress link opens that rider's progress record.
Medical. Anything recorded on their client profile as a medical condition or special need, in red.
Payment. "$45.00 owing" where the lesson is not paid for. It is there so you know, not so you collect it — the office handles money.
Status: what you can and can't set
A coach sets three statuses, and nothing else:
| Button | What it means |
|---|---|
| Check in | The rider is here. Time-stamped when you tap it. |
| Complete lesson | The lesson happened. You can complete a lesson whether or not you checked the rider in first. |
| No show | The rider did not turn up. You are asked to confirm, and the message says it plainly: "The office handles any charge or credit." |
If the lesson has moved on since your screen loaded — the office cancelled it, or ticked the same rider in — Horsify says so ("This lesson is cancelled, so it can't be marked completed.") and reloads the day so the card shows the truth.
Everything else is one tap away but not yours: Open the full booking (cancel, move, payments) at the bottom of the sheet takes you to the booking itself.
No signal in the arena
Arenas are where the signal isn't, so My day keeps working without one.
The day you last loaded stays on the phone. With no signal you still see it, with a banner saying so — "You're offline — this is your day as it was last loaded. Check-ins you make now are queued and sent when you're back in range."
Every check-in, no-show, completion, note and horse allocation you make offline is queued, and the card updates straight away so you can carry on. A counter shows "n changes waiting to send" with a Queued badge. They are sent the moment you have signal again, and are recorded exactly as if you had tapped them live — the note lands in the rider's progress record, the horse's hours go up.
Two things worth knowing about what happens when they send:
- If the office already did it, that's fine. A check-in you queued for a rider the front desk had already ticked in is not an error; it is simply already done.
- If the lesson moved on, the change is handed back to you rather than forced through — a lesson cancelled while you were out of range will not be quietly completed.
Being told about your day
You do not have to remember to open the page. Two things come to you, both per school and both on by default:
- Daily summary — your lessons for the day, each morning at the time you choose (7:00 am to start with), in the school's clock. It arrives as a notification on your phone, or by email if you have no device set up for notifications. Nothing is sent on a day with nothing on — no lessons, no shift, no jobs, no message.
- Lesson changes — when one of your lessons is moved, cancelled or given to another coach. A whole group lesson being dragged is one message, not one per rider, and you are never told about a change you made yourself.
Both take you straight to My day on the day in question, and a change alert opens on the lesson itself.
To change them: your name in the top right → Profile → Coaching notifications. There you will find Daily summary with its Send at time, and Lesson changes. They save as you tick them — there is no Save button on that section. If you coach at more than one school there is a set per school, because they are two different days' work.
If you have no device set up for notifications, that section tells you so and points you at Preferences, where push is turned on.
Troubleshooting
| Problem | Cause and fix |
|---|---|
| There's no My day in my menu | It appears once you are set up as an instructor at a school. Go to horsify.com.au/riding-school/my-day directly — if your lessons are there, the menu will catch up. |
| "You're not set up as an instructor yet." | The school has not added you under Instructors, used a different email address, or your instructor record is inactive. The message shows the address your account uses — give them that one. |
| My lessons are missing | Check the date, and — if you coach at more than one school — the school in the picker at the top. Only your own lessons appear; a lesson the office has not assigned to you yet is not here. |
| I can't find where to write a note | Tap the lesson, then Add a note (or Edit note). The same field is inside Complete lesson. |
| There's no microphone on the note | Your browser can't do speech recognition. On a phone, use Safari (iPhone) or Chrome (Android); or use the microphone key on the keyboard, which works in any text box. |
| "Microphone access is blocked" | You said no when the phone asked. Turn the microphone back on for horsify.com.au in your browser's site settings (iPhone: Settings → Safari → Microphone; Android Chrome: the lock icon in the address bar → Permissions). |
| Where did My Shifts go? | It is the Week view of this page. The old address still brings you here. |
| Where did the Instructor Dashboard go? | Its calendar and calendar feed are the Calendar view, its availability the Availability view. They appear once you are a member of the school as well as its instructor. Its bookings table is this Day view. |
| The office can't see my note | It is on the rider's record, not the booking: Clients → the client → Progress → "Recent lesson notes". Only the five most recent are listed there. |
| A horse I want is greyed out | The reason is on the line underneath it — already in another lesson at that time, at its daily hours limit, blocked, not available, or not used for this lesson type. |
| "Biscuit is already with Sally at this time." | One horse, one rider. Pick another, or ask the office to move the other lesson. |
| "This lesson is cancelled, so it can't be marked completed." | It changed since your screen loaded. The day reloads itself — check the card again. |
| I marked the wrong rider as a no-show | Ask the office. Undoing a status, and any charge or credit that goes with it, is theirs. |
| The horse can't be changed | Once a lesson is completed, cancelled or a no-show its horse is fixed. Tell the office if it was recorded wrongly. |
| "You're offline — this is your day as it was last loaded" | Your phone can't reach Horsify. Everything you tap is queued and sent when you have signal; the counter tells you how many are waiting. |
| I'm not getting the morning summary | Nothing is sent on a day with nothing on. Otherwise check Profile → Coaching notifications for that school, and that the send time is one you're awake for — it is the school's clock, not your device's. |
