Overview
When organisers manually add a registration on behalf of a participant (via the admin registration flow), they can now select competition classes during the manual registration process. Previously, competition class selections were only available through the self-service checkout flow and had to be added separately by admins after registration. This change brings manual registrations to feature parity with online self-service registrations.
Who Should Use This Feature
Perfect For
- Event organisers who add registrations on behalf of participants (e.g., phone registrations, day-of registrations)
- Club secretaries manually entering competition entries for members
- Administrators processing entries received via paper or email forms
Prerequisites
- You must be an admin of your organisation
- The event must have Competition Classes configured
- The event must be open for registration (or the admin must override the registration deadline)
How to Use
Adding a Manual Registration with Competition Classes
- Navigate to Organiser → Events → [Event Name] → Registrations
- Click Add Registration
- Enter the participant's Email, First Name and Surname (all required). There's no rider search — you type the details in directly.
- Check the membership message that appears under the participant's details once you've entered their email. It names who was matched on your club's member list and says whether the prices on the rest of the form are your member rates or your standard rates. Tick or untick Charge the club member rate if you need to override it (see Member rates below).
- Leave Create Horsify Rider Profile ticked so the entry links to the rider's account (if a profile already exists for that email, the registration is added to it automatically for them to manage). Untick it to record the entry without creating an account.
- If the event requires horse nomination, enter the horse name for each class the rider enters.
- In the Competition Classes section, select all classes to enrol the rider in.
- Configure any additional form fields (sessions, stabling, custom fields).
- Optionally tick Mark as paid to record that payment has been collected, and choose the Payment Method (Cash, Bank Transfer, or Card).
- Click Add Registration.

💰 Fee Calculation
When classes are selected during manual registration:
- Each class's entry fee is added to the total
- The entry fees total is shown before you confirm the registration
- Classes set to a $0 entry fee show as Free
- Early bird pricing applies automatically while the event's early bird window is open
🎫 Member rates
A manual registration is priced from the competitor's membership, exactly as an online entry is — so a member you key in from a phone call or a paper form is charged your member entry fee, not the non-member one.
Horsify looks the participant up on your club's member list as soon as you enter their email, matching their membership record whether it was recorded against that email address, against their Horsify account, or against their rider profile. It then tells you which of three things it found:

Every price on the form — session ticket prices, each class's entry fee, and the entry fees total — shows the figure that entrant will actually be charged, labelled (member rate), (early bird) or (early bird member rate) where one of those applies.
Overriding it
Charge the club member rate is ticked or unticked to match what was found, and you can change it. Use it when the form can't identify the rider on its own — a member's child entered under their parent's email address, or a member whose club record carries a different address to the one you're entering. The override applies to the whole registration, is recorded in the event log against your name, and is cleared automatically if you change the participant's email.
The member rate is only ever the club's own member figure: an override changes which of your advertised prices is charged, never the amount. If a class has no member entry fee set, members and non-members alike pay the standard fee.
Already saved a registration at the wrong rate? Use Adjust price on the registration to set the correct figure by hand. The line is marked as adjusted, the total and invoice are rewritten, and a payment link then bills the new balance.
