Horse Care Assistant

    Overview

    The Horse Care Assistant keeps track of your horses' routine care — farrier, worming, dental, vet visits and vaccinations — and reminds you when each one is coming up. The clever part: instead of filling in forms, you just tell it in plain English what you've done, and it works out when the task is next due.

    Say "wormed today" or "farrier came yesterday", and the assistant logs it and sets the next reminder. It can nudge you by email or text message as each task approaches, and you can reply to those messages to mark things done — even from the paddock.

    Good to know: the assistant tracks scheduling — when routine care is due. It's a reminder tool, not veterinary advice: always follow your vet's and farrier's guidance for the care itself.

    Opening the Care Assistant

    The Care Assistant is one page covering all your horses, at Care Assistant in your account menu (/rider/care).

    You can also reach it from:

    • My Horses — the coloured care strip on a horse's card ("2 due soon", "All up to date").
    • A horse's Health page — the Care Assistant card near the top.
    • Your Rider dashboard — any item under Horse Care Reminders.
    • A care reminder notification — tapping it opens the chat ready for your reply.

    Arriving from a specific horse brings that horse with you, so you can just say "done" without naming it.

    The page has three parts: the Assistant chat at the top, your Care reminders for every horse below it, and your Feed shed at the bottom.

    Because one page covers every horse, each message in the transcript is labelled with the horse it was about, and reminder cards are grouped by horse. The About selector at the top of the chat sets which horse an unqualified message like "done" applies to — leave it on Any horse and name the horse in the message instead.

    Care tracking covers horses you own. For a horse someone has shared with you, it stays with the owner.

    Care Reminders

    Each reminder is one routine task for the horse, with how often it repeats and when it's next due. Cards are colour‑coded by status — Overdue, Due soon or Upcoming — and give you one‑tap Done and Snooze buttons.

    Adding a reminder by hand

    Click + Add to open the reminder form.

    Pick the Horse, choose the Task, set how often it repeats under Every (for example, every 6 weeks), enter when it was Last completed, and choose how many days before the due date you'd like to be reminded. Horsify starts you off with sensible default intervals:

    If a club or agistment centre already handles something for you, tick "I manage this elsewhere (don't remind me)" to keep it on the record without the nudges.

    Marking a task done

    When a task is complete, either tap Done on its card, or just tell the assistant (see below). The reminder rolls forward to its next due date automatically. Anything you log against Vaccination is also saved to the horse's Vaccinations tab, so everything's in one place.

    Removing reminders you no longer need

    Reminders build up over time — a task the horse has grown out of, or two overlapping cards for the same job.

    To remove one, tap the bin button on its card and confirm.

    To clear several at once, tap Tidy up at the top of the reminder list. Every card gets a tick box, so you can select the ones to go and delete them in one step. Nothing is removed until you confirm.

    Horsify also points out reminders that have been left behind. If you have a general Worming card and later add a more specific Worming — Rotational one, the general card is flagged as overlapping, and Select overlapping reminders ticks it for you to review. Sub-types of the same task are never flagged against each other — a Hendra and a Tetanus vaccination reminder are two separate schedules the horse genuinely needs, not a mistake.

    You can always undo. Straight after a delete, an Undo link appears above the cards and puts everything back. Even after that, deleting is never destructive behind the scenes — the task's completion history is kept, so if you add the same reminder again later (or simply tell the assistant "wormed today"), it comes back with its history intact rather than starting from scratch.

    Just Tell the Assistant

    The chat box is the quickest way to keep things up to date. Type — or tap the microphone and dictate — what happened, in ordinary language.

    The chips above the message box are shortcuts for the things you'll type most often — tap one instead of typing it.

    Things that work well:

    • "wormed today"
    • "farrier came yesterday"
    • "teeth done on Monday"
    • "vet visit done, remind me again in a year"
    • "remind me again in six weeks"
    • "Hendra done" (understood as a vaccination)

    There are also a few quick commands you can type any time, in upper or lower case:

    When it checks with you first: if a message is vague about timing, or mentions more than one horse, the assistant reads the change back and asks you to reply YES to confirm before saving anything. Clear, dated, single‑horse messages are applied straight away.

    Feeding by text

    The assistant also keeps your feed shed and your horses' feed cards up to date, so restocking is a text message from the feed room rather than a job for later.

    Stock coming in and going down:

    • "got 2 bags of Hygain Balanced"
    • "picked up a bale of lucerne, $28" — the price is remembered as the pack price
    • "half a bag of chaff left"
    • "out of copra"

    Changing what a horse is fed:

    • "add 100g of Cell Provide to Bella's morning feed"
    • "drop Comet's evening pellets to 1kg"
    • "stop Bella's bute"
    • "what's Bella on?"
    • "Bella left half her feed again" — kept as a note on her card, not a change to it

    You can mix the two: "wormed Bella today and I'm nearly out of chaff" is understood as two separate things.

    Bags, not kilograms. Nobody says "forty kilograms of pellets". Say "2 bags" and the assistant works out the amount from the pack size on that shed line. The first time it meets a feed it doesn't know the pack size for, it asks once — "how big is one bag of Hygain Balanced?" — you reply "20kg", and it never asks again.

    Reading the bucket out

    You don't have to phrase a feed as an instruction. Standing at the bin, just say what's going in:

    "Bella: cup of CEN Ultimate, 1 biscuit of hay, 1/2 a cup of rice bran oil, 1 large dipper of chaff"

    Every line goes onto that horse's feed card as one edit, and you get one sentence back:

    "Added to Bella's morning feed: 1 cup CEN Ultimate, 1 biscuit hay, 0.5 cups rice bran oil, 1 dipper chaff (large)."

    • Yard measures are kept as you said them — cups, scoops, dippers, biscuits, handfuls, sachets and pumps, alongside kg, g, mL and L. A dipper is not converted into a scoop or guessed at as a weight.
    • "Large", "heaped", "soaked" are recorded as a note on the line, never folded into the number. Nobody knows how much bigger a large dipper is, so it isn't invented.
    • Fractions read naturally — "1/2 a cup", "half a biscuit", "one and a half scoops". A unit with no number means one.
    • Which feed? Say "evening feed" or "tonight" and it goes there. If you don't say and the horse has more than one meal, the assistant asks once for the whole bucket — reply "morning" and the lot goes in.
    • Saying it again is safe. A feed already on the card is updated to the amount you just said, never duplicated; anything you left out is left alone. Re-reading the same bucket changes nothing.

    What it will and won't do on its own:

    A bucket is one decision: if any line in it needs checking, the whole message waits for your YES rather than half of it landing.

    Every stock change is recorded in the shed's history — what came in, what went out, what the balance was after, and what you actually said. Feed card changes appear in the card's change log, marked as coming from the assistant rather than from the app.

    Running low. Horsify checks your shed once a day and sends one message when something drops under your warning level — not one per feed, and not the same warning every morning. It escalates as things get tighter (low → very low → out) and resets when you restock.

    Counting feed as it's used is a setting in the Feed shed, and it's off until you turn it on. With it on, each day Horsify takes off what your horses' feed cards say they eat, which is what makes "days left" mean something. It's only ever as accurate as your feed cards are, which is exactly why it's your choice rather than the default.

    Best for short messages. The assistant is designed for quick notes like the examples above — not for pasting long vet letters or feed plans. Tell it what was done and when, and let it handle the scheduling.

    Reminders by Email and Text

    You don't have to open the app to stay on top of care. Horsify sends up to a few gentle nudges per task as it approaches — Coming up, Due, and a final Overdue nudge — during the day (never in the middle of the night). If a nudge comes by text message, you can simply reply (for example, DONE) to update the reminder without opening Horsify.

    Good to Know

    • Nothing is saved silently if it's unclear. Vague timing or a message about more than one horse is always read back for you to confirm first.
    • It follows the conversation. A short follow‑up is read in the context of the last few messages, so after telling it about worming you can just say "and remind me in 3 months for Ryan" without naming the task again.
    • It asks instead of guessing which task. If you name several horses but no task — "remind me in 3 months for Ryan and 6 for Cobalt" — and nothing in the conversation says which one you mean, it will ask rather than pick one and apply it to all of them.
    • It only tracks horses on your account. If you name a horse it doesn't recognise, it'll say so rather than guess.
    • Future dates aren't accepted — you log care that has already happened.
    • Voice dictation is available on supported browsers (a microphone button appears when it is).
    • If a task has no fixed schedule for you, mark it "I manage this elsewhere" to stop the reminders while keeping the record.

    Feed & Diet

    The Care Assistant handles the every-few-weeks jobs. The Feed & Diet tab, on a horse's Health page, handles the every-day one — what that horse actually eats.

    It holds a structured feed card you can share with a feeder by link without them needing an account, condition and weight tracking, and a Feed Coach that reads the ration against the horse's workload and bodyweight. Logging a condition check there also completes any body condition reminder you have set here.

    Your feed shed — the stock you have on hand and what it costs — is not per-horse, because a bag of chaff feeds all of them. It sits at the bottom of the Care Assistant page, and the assistant keeps it up to date when you tell it what came in.

    Frequently Asked Questions

    What can I say to it? Short, everyday notes: "wormed today", "farrier came yesterday", "teeth done Monday", "remind me again in six weeks". It understands the task and the date and sets the next reminder.

    Can I log two horses at once? Yes — e.g. "Bella and Comet wormed today". Because it touches more than one horse, it'll ask you to reply YES to confirm.

    Do I have to use the chat? No. Every reminder card has Done and Snooze buttons, and you can add, edit or delete reminders yourself. The chat is just the fastest option.

    What happens to the history if I delete a reminder? It's kept. Deleting takes the card off the list, and you can undo it straight away — but the record of when the task was done stays attached, so re‑adding the same reminder later picks up where it left off.

    Will it give me health or dosing advice? No — it's a scheduling assistant for routine care. Follow your vet's and farrier's advice for the care itself.

    Do vaccinations logged here show up anywhere else? Yes. A vaccination you complete in the Care Assistant is also saved to the horse's Vaccinations tab.

    How will I be reminded? By in‑app reminders and, where set up, email or text nudges as each task approaches — with a final nudge if something's overdue.
