Work parties and My jobs

Audience: club organisers running a working bee, and members wondering what's on.

Overview

A work party is a job outside an event that members can put their hand up for: the arena drag, fence repairs on the cross-country course, the working bee before the show. It is the same helper list that runs your event day, working the other fifty-one weekends of the year. You say what needs doing and how many people, members put their hand up, you confirm, and on the day you mark them in and done. A member's done job can write their volunteer claim for them.

Work parties come with the Club Site, Club Site Premium and Riding School plans (and the older Premium plan).

Who can set them up

Admins, and staff with Members and volunteers access, find Work Parties under People. Staff with only Staff roster access can use the page too, but it isn't in their menu. Staff with View access see the list; adding, confirming and marking people needs Manage. See Staff Access.

Setting one up

Open People, then Work Parties, and press the Work party button (with the plus sign). Fill in:

  • What needs doing ("Fence repairs on the cross-country course")
  • Day
  • People needed (1 to 50)
  • At a set time, with From and To, if it has a time window (untick it for "any time")
  • Instructions ("Bring gloves. Meet at the machinery shed.")

Press Save. It's live straight away. The page shows work parties for the next three months, each with how many people it has against how many it needs.

Members see it in two places:

  • My jobs (their profile menu) under Looking for hands, with a Put my hand up button.
  • Your club site, if you've added the Help out block to a page (open Pages, open the page, click Add Block, then choose Help out). The block lists what's coming up and still needs people, with a button that takes a signed-in member to My jobs.

Only current members of your club with a Horsify login can put their hand up. Once a work party has all the people it needs, nobody else can.

Nominations

Each nomination arrives on the card marked nominated, and you're told in your notifications too. Press confirm (the member is told) or × to remove them. On the day: in, ✓ done, ✗ no-show, the same as the event day board. ↺ undoes a done or no-show.

Mark done on the card finishes the whole job and marks everyone still on it as done, including anyone you haven't confirmed yet, so remove anyone who didn't come first. Edit changes the details and Remove deletes the work party.

A member can pull out from My jobs until they've been checked in or marked done. You're told and the spot opens again.

Credit

When you mark a member done, Horsify can write their volunteer claim. It lands on Volunteer Claims (under People) with a Work party chip, as Pending for your review, or approved and credited straight away if you've ticked …and approve it straight away in the volunteer settings there.

A claim is only written when all of these are true:

  • your Volunteer program is switched on (set to hours only, or hours and club credit, in the volunteer settings on Volunteer Claims), and Write a claim when a member's rostered job is marked done is ticked there (it is to start with). Untick it if your club prefers members to claim as they always have.
  • the member has a Horsify login.
  • the work party has a time window (At a set time). The hours are its window, to the nearest quarter hour.
  • Allow custom tasks is ticked in the volunteer settings. A work party you add on this page has no helper task type, so its claim is recorded under the work party's own name, as a custom task.

If any of these isn't true, the job is still marked done, but no claim is written. If your volunteer program is on, the member can claim it themselves as usual.

My jobs, for members

My jobs shows everything you're down for across all your clubs under Coming up: helper jobs at events (once the roster's published) and work parties, day by day, with the club and the time. Can't make it takes you off and tells the organiser. Below that, Looking for hands lists the work parties at your clubs that still need people, with how many spots are left.

If you also work at the club (you coach there, or you're on its staff roster), the day's jobs at that club are listed on My day too, under Jobs beside your shift and lessons, so the day reads as one list. Pulling out is still done in My jobs.

For a helper job at an event you'll get a reminder the evening before and half an hour before it starts, once the organiser has published the roster (unless the organiser has turned event reminders off). Work parties don't send members reminders yet, so check My jobs before the day.

Troubleshooting

Problem What to do
I can't see Work Parties under People Work parties need a Club Site, Club Site Premium or Riding School plan, and admin access or Members and volunteers access.
A member can't put their hand up They need a current membership of your club and a Horsify login, and the work party must still have a spot free.
A member was marked done but no claim was written Check the four conditions under Credit. If your volunteer program is on, the member can still claim the hours themselves.
