Horsify works for pony clubs, riding clubs, and horse associations alike. This guide gives a quick overview of the pony-club-specific settings and the membership tools your club uses day to day. For step-by-step instructions, see Member Management.
Setting your club type
Open your organisation and click Edit details to set a Club Type. It's a free-text field, so write whatever describes your club — Pony Club, Riding Club, Horse Association, Extreme Cowboy Racing, and so on.
The club type is used in more places than you might expect:
- as a badge beside your club's name on its Horsify page and in the public organisations directory
- under each membership on a rider's dashboard, so riders can tell your clubs apart
- on your club hub at
horsify.com.au/clubs/{your-slug} - in the automatically generated page titles and descriptions on your club site, if you run one
Because of that last one, a specific club type is worth a minute of thought — "Dressage Club" tells a search engine more than "Club".
Managing members
Members are managed from Organiser → Members. From there you can:
- See your members filtered by status (All, Active, Pending, Expired), with each member's name, membership status, membership number, join date, and expiry date.
- Invite new members by email. Invitations are secure, single-use, and expire after 7 days (you can resend to extend). You can set a member's type, membership number, and expiry before sending. A rider who already has a Horsify account is added to your club immediately; a new rider gets an invitation to join.
- Approve or decline riders who have applied to join.
- Edit a member's status, membership type and fee, membership number, expiry date, and free-text role (e.g. Coach, Volunteer), and tick Organisation Administrator to give them admin access to your club in Horsify.
- Manage a member's dependants — the children or non-account riders attached to their membership.
- Remove members from your club.
Committee roles are recorded separately — see Committee Management.
Members can belong to more than one club, and each rider sees all of their memberships — with club type, membership number, and a colour-coded status — on their rider dashboard.
Membership fees and numbers
- Membership fees: set up as many fee types as you need (for example Junior, Adult, or Affiliate), each with its own amount and description. Each club keeps its own independent fee list. Members can pay online by card, and Horsify records the payment against their membership.
-
Membership numbers: assign numbers manually, or turn on automatic generation. Automatic numbers are a four-letter prefix followed by a five-digit sequential number — for example
PONY12001,PONY12002. The prefix is taken from the first four letters of your club's name unless you set your own. - Renewal reminders are sent automatically as a membership approaches its expiry date.
Family and dependant members
Guardians can manage dependants (such as children) under their own account, so a parent can hold memberships and enter events on behalf of their kids. See Dependent and Child Membership.
