Overview
Organisers and system admins can permanently delete registrations that never became real entries — an abandoned checkout, a failed payment, a cancellation, or an entry you keyed in by mistake. This used to need Horsify support.
Deleting emails the registrant to tell them their registration has been removed, so it isn't a silent tidy-up.
Who Should Use This Feature
Perfect For
- Event organisers cleaning up registrations from riders who abandoned checkout
- System admins performing bulk cleanup of stale payment-pending registrations
- Club treasurers ensuring the registration count reflects actual committed participants
Prerequisites
- You must be an admin of your organisation (or a Horsify system admin)
- Only registrations in PendingPayment, Cancelled, or PaymentFailed status can be deleted
- Paid registrations cannot be deleted — use the refund flow for paid registrations
How It Works
Eligible Registration Statuses for Deletion

That fourth row is the one worth knowing about: if you added an entry yourself on someone's behalf, didn't mark it paid, and it isn't linked to a Horsify account, you can simply delete it rather than cancelling it. A registration a rider made themselves cannot be deleted while it's confirmed, even if unpaid.
If a confirmed registration has a completed payment against it, Horsify refuses the deletion and tells you to refund first.
Permanent Deletion
Deleting a registration permanently removes it from the system. This action is irreversible.
Any payment records and tax invoices that referenced it are kept — they're unlinked from the registration rather than destroyed, so your financial history stays intact.
The Registrant Is Emailed
Deleting sends the registrant a "registration removed" email. The one exception: if the same rider has another confirmed registration for the same event (typical when a payment failed and they simply tried again), no email is sent — deleting the dead attempt would otherwise tell them their entry was cancelled when it wasn't.
How to Use
As an Organisation Admin
- Open Registrations from the organiser menu
- Filter by Pending Payment, Payment Failed or Cancelled to find the entry
- Click Delete on the registration's row
- Confirm in the dialog
- The registration is permanently removed and the registrant is emailed
As a System Admin
- Access the Admin Registration Management section
- Search for the registration by ID, email, or event
- Confirm the registration is in an eligible status
- Click Delete — the registration is permanently removed
Important Notes
⚠️ Deletion is permanent. This action cannot be undone. Ensure you have identified the correct registration before confirming deletion.
💡 Capacity is restored. When a registration is deleted, any reserved spots are released, allowing other riders to register.
✉️ Before deleting a stuck payment, consider resending the payment link instead. A registration sitting in Pending Payment or Payment Failed can be given a fresh link from the same screen — see Payment Retry Links. Deleting is for entries you're sure aren't coming back.
