Save as Template for Entry Forms

Overview

Organisers can save any entry form as a reusable template and apply it to future events with a single click. Templates are scoped to an organisation and are managed through the Entry Form Builder. This eliminates repetitive configuration of common form structures (e.g., standard dressage entry forms, show-jumping forms, or club annual membership forms).

  • You must be an admin of your organisation
  • Your organisation must have Form Builder access (Premium or above)

  • Store multiple reusable form skeletons per organisation
  • Each template captures all entry form fields, labels, ordering, validation rules, data source bindings and the form's rules (see Entry Form Designer, Rules and Event Templates)
  • Templates are listed in reverse-creation order on the management page

🏷️ Templates Have a Purpose

Each template carries a badge showing what it's for:

Badge What it does
Event Entry The default — a form riders fill in when entering an event
Membership Application This is your club's public membership application form. Whatever fields you put in this template are what applicants see on your join form
Member Profile The custom club fields recorded against each member

Rules built on the designer's Logic tab work on all three: a Membership Application template's rules run on your public join form, and a Member Profile template's rules run wherever club fields are filled in (the member panel and Add Member).

That second one is worth knowing: there is no separate "membership application form designer" in Horsify. If you want to change the questions on your public join form, you edit the template with the Membership Application badge here.

💾 Save Existing Form as Template

  • After configuring an entry form on an event, save it as a named template
  • The template name, description, and full field configuration are stored

⚡ Assign a Template to an Event

  • On the event's edit page, the Entry form section has an Entry form template dropdown — pick the template riders should fill in
  • The first time the form is actually needed, Horsify takes a snapshot of the template for that event. From then on the event has its own copy: later edits to the template do not change an event that has already used it, so the questions a rider answered always match the answers stored against them
  • To change an event that has already taken its snapshot, edit that event's own form under Advanced: manage per-event forms

  • Rename or update any existing template
  • Delete templates that are no longer needed

How to Use

Saving a Form as a Template

  1. Navigate to your event and open the Entry Form Builder
  2. Configure your form fields as needed
  3. Click Save as Template at the top of the form builder
  4. Enter a Template Name and optional description
  5. Click Save — the template is now available across all your events

Assigning a Template to an Event

  1. Open the event's Edit page and expand the Entry form section
  2. Choose the template from the Entry form template dropdown
  3. Save the event — riders entering it now get that form

To tailor the form for one event without touching the template, open that event's own form under Advanced: manage per-event forms and edit it there.

Managing Templates

  1. In the organiser menu, click Settings, open the Templates tab and choose Form Templates
  2. View all saved templates
  3. Click the pencil icon to rename or edit a template
  4. Click the bin icon to delete a template (this does not affect events already using it)

Configuration
