Subscription Management

Overview

Horsify is sold as a set of plans. Your organisation's plan decides which features it can use β€” from simply listing events that run elsewhere, through full event management with online entries, to a complete riding school or a branded club website.

Plans belong to the organisation, not to you personally. If you help run more than one club, each one has its own plan and its own billing.

Payments and invoicing are handled by Stripe. Horsify never stores your card details.

Who this is for: organisation admins who choose the plan and look after billing.

Who Can Use This Feature

  • You must be an admin of the organisation. Ordinary members and committee members without admin rights cannot see or change the plan.
  • Subscriptions must be bought in a web browser. Inside the Horsify mobile app the plan cards are replaced with a note pointing you to horsify.com.au β€” organiser plans are business services, which app store rules don't allow us to sell through in-app purchase.

Finding Your Subscription

Go to Organiser β†’ Finances β†’ Subscription on horsify.com.au β€” or Organiser β†’ Subscription on your own club site, where the Organiser menu is one flatter list. You can also open horsify.com.au/organiser/subscription directly.

If you administer more than one organisation, pick the one you want at the top of the page. Everything below the selector β€” plan, price, dates and billing history β€” belongs to the organisation you've selected.

September 2026 pricing change. The plan that was called Club Site ($59 + $299 setup) is now Club Site Premium, and Club Site is a new $10 plan for small clubs. The $5 Premium add-on is retired for new sales because Club Site includes all of it; clubs already paying for it keep it. No existing subscriber was moved to a different plan.

Free

Where every new organisation starts. You can set up your organisation profile, browse and explore Horsify, but you cannot create events or manage members.

Limited β€” free for 12 months

For organisations that want to be visible on Horsify while taking entries somewhere else.

  • Unlimited external events β€” riders are sent to your own registration platform
  • Your events appear in Horsify's public event listings and calendar
  • No on-platform ticketing, entries or payments

Limited is offered when you go to create your first event without a plan: Horsify shows a Choose Your Subscription screen with the Limited plan beside Basic. Choose Get Started Free to take it.

Basic β€” priced by member count

Full event management with online entries. The yearly price depends on how many active members your organisation has:

Includes unlimited events, online entries and payments through Stripe, entry lists, scheduling and results, and member management.

The plan card on your Subscription page always quotes your own band, not the headline $10 β€” so the price you see is the price you'll pay.

Premium β€” $5 per month (retired)

No longer sold. Premium was an add-on to Basic that added email marketing campaigns and templates, audience segmentation and analytics, sponsorship management, the custom entry form builder, and the online store. Club Site now includes all of it. A club that already pays for Premium keeps it, with everything it included, and sees it on its Subscription page; nobody else is offered it.

Instructor β€” $15 per month

A solo-coach plan with the riding school toolset, limited to one instructor (you):

  • Online bookings for private and group lessons, and your own booking page
  • Client records, rider progress and the client portal
  • Your horses, with workload tracking
  • Facility hire and waivers
  • Availability, lesson packages and gift vouchers
  • Payments, invoices and receipts

It cannot add other instructors. A school with a team needs the Riding School plan.

Riding School β€” $39 per month

Everything in Instructor with unlimited instructors, plus each instructor's own hours, lessons and rates, school-wide booking hours across your team, and staff rosters and tasks. All Premium features are included.

Club Site β€” $10 per month, or $100 per year

Your club's branded website at yourclub.horsify.club, with the page builder, news, results boards and sponsor blocks, and everything in Basic: unlimited events, online entries, memberships. Email marketing, the form builder, sponsorship management and the online store are included. No setup fee; a starter site is created automatically when the plan starts. Paying yearly is two months free, and the choice is made on the plan card.

What it deliberately leaves to Club Site Premium, because each costs Horsify per use or per club:

Online payments run through a Horsify-managed Stripe account at the all-in platform rate.

Club Site Premium β€” $59 per month plus a $299 setup fee

Everything in Club Site and Riding School, on your own domain, with your own Stripe account (no Horsify transaction fee), a dedicated mobile number for the club's SMS, PaperSync, priority support and onboarding β€” we build the site with you.

Registered Australian not-for-profits pay a discounted $29.50 per month (the setup fee still applies). See Buying Club Site Premium below β€” the discount is only offered on the dedicated Club Site page.


Starting or Changing a Plan

Your Subscription page lists every plan available to your organisation, priced for you, under Add or change your plan.

  1. Go to Organiser β†’ Finances β†’ Subscription and select the organisation.
  2. Find the plan you want under Add or change your plan.
  3. Choose Start [length] free trial where it's offered (for example Start 30 days free trial on Club Site), or Choose [plan] to subscribe straight away.
  4. Complete Stripe checkout. Trials skip the payment step entirely.
  5. You're returned to Horsify and the new plan applies immediately.

A few things the cards tell you at a glance:

  • A green badge such as 60 days free means the trial is still available to your organisation for that plan.
  • Your current plan marks what you already hold.
  • A greyed-out button gives the reason β€” "Requires the Basic plan" or "This is your current plan".

Free Trials

Club Site Premium launch offer. Club Site Premium trials started on or before 1 November 2026 (Brisbane time) run for 6 months (180 days) instead of 60 days. Everything else about the trial is unchanged β€” no card, setup fee waived, the plan stops rather than converts. After the offer closes the Club Site Premium trial returns to 60 days. The $10 Club Site plan is not part of the offer: its trial is always 30 days.

The Instructor, Riding School and Club Site Premium plans can be started on a 60-day free trial, and Club Site on a 30-day one. Basic can't β€” at 10–30 a year it's cheap enough that a trial only adds a step.

How the trial works

  • No credit card is collected. You get the full plan for the whole trial having paid nothing.
  • On the Club Site Premium plan the $299 setup fee is waived entirely on the trial, so starting a trial costs $0.
  • One trial per organisation, per plan, forever. A trial you started and cancelled still counts. If you try to start it again you'll be told you've already used it, and offered the plan at its normal price rather than being charged unexpectedly.
  • The trial stops rather than converts. If no payment method has been added by the time the trial ends, the plan simply ends β€” you are never charged by surprise. Add a card before then and billing starts the day after.
  • Cancel any time during the trial and nothing is charged.

Reminders

While a trial is running, a banner counts down the days and tells you the exact end date. It appears at the top of the Subscription page and on your Organiser Dashboard, and in the final fortnight it turns amber and prompts for a payment method.

Horsify also emails your organisation's email address at three points β€” 14 days out, 3 days out, and on the last day. The emails stop automatically once a card is on file.

⚠️ Because the trial ends by stopping, these reminders are the only warning you get. Make sure the email address on your organisation profile is one somebody reads β€” if the organisation has no email address on file, no reminder can be sent.


Buying Club Site Premium

Club Site Premium has its own page, because of the setup fee and the not-for-profit rate. The same page also offers the $10 Club Site plan first, under Start your club's website.

  1. Open horsify.com.au/organiser/club-site-subscription. There's no menu item for it β€” you'll also land here from the Club Site prompts on your organisation's site pages (Theme, Pages, Navigation, Custom Domains) and from the onboarding checklist.
  2. Select the organisation.
  3. Under Or have us build it with you: Club Site Premium, choose Get started with Club Site Premium.
  4. Check the pricing summary, and tick We are a registered Australian not-for-profit organisation if that applies to you.
  5. Choose Proceed to Checkout to pay through Stripe.

Ticking the not-for-profit box reduces the monthly fee to $29.50. You may be asked for your ABN or registration details to verify it.

πŸ’‘ The not-for-profit rate is only offered here. Buying Club Site Premium from the plan cards on the Subscription page takes the standard $59 rate β€” so if you're a not-for-profit, start from the Club Site page.

If your organisation already has Premium, paying for Club Site or Club Site Premium stops Premium renewing (see Moving up to a plan that includes your current one below).


Managing Billing, Payment Methods and Invoices

Choose Manage Subscription on your plan card. This opens the Stripe billing portal, where you can:

  • Add or change the card you pay with
  • Download invoices and receipts
  • Cancel the subscription

You're returned to Horsify when you close the portal.

Your recent invoices are also listed on the Subscription page itself β€” under Billing History, or in the Invoices tab of the Financial Dashboard if your organisation is connected to Stripe for taking payments. Each row links to the invoice online and to a PDF.

ℹ️ If your organisation is invoiced directly rather than paying by card, the billing portal isn't available and Horsify will tell you to contact support for changes.


Subscription Statuses

Active In good standing, with full access to the plan's features
Trialing Inside a free trial, with full access and nothing charged yet
Past Due A payment failed and Stripe is retrying β€” update your card to avoid losing access
Canceled Cancelled, but still running until the end of the period you've paid for
Expired The paid period has ended and the features are locked
Paused Temporarily paused

Moving up to a plan that includes your current one

When you pay for a plan that includes everything in one you already hold, Horsify stops the older plan renewing for you β€” you don't need to cancel it yourself.

  • The older plan shows Cancels at Period End and runs out at the end of the period you've already paid for. It is not refunded or credited, and it is never charged again.
  • This happens when the new plan is paid, not when a free trial starts. If you try a higher plan and don't go on with it, the plan you had is still there.
  • A plan that isn't included in the new one is left alone β€” Riding School has no website, so it never replaces Club Site.
  • A plan Horsify granted you without a Stripe subscription is never changed.
  • Stepping down is still done by hand: cancel the higher plan in the billing portal and buy the lower one. The lower plan is kept.

Cancelling

Cancel through Manage Subscription β†’ Stripe billing portal.

  • Your plan keeps running until the end of the period you've already paid for. The card shows a Cancels at Period End badge, and the Next Payment Date becomes the date access ends.
  • Part-periods are not refunded.
  • Your data isn't deleted. If you subscribe again later, everything is where you left it.
  • Cancelling during a free trial costs nothing β€” you were never charged.

Locked Features

If you open a page your plan doesn't include, Horsify shows an upgrade panel instead of the feature β€” naming the plan required, listing what it would give you, and linking straight to your Subscription page.


Troubleshooting Common Issues

Issue: I can't find the Premium plan

Cause: Premium ($5 per month) is retired and no longer sold. Only a club that already holds it sees it on the Subscription page.

Solution: Choose Club Site, which includes Premium's email marketing, sponsorship management, form builder and store, plus your club website. PaperSync, which Premium also had, is on Club Site Premium.

Issue: "Your organisation has already used its free trial of this plan"

Cause: Trials run once per organisation per plan, and a trial you started and cancelled still counts.

Solution: Subscribe to the plan at its normal price from the same card. Nothing is charged until you complete checkout.

Issue: The plan cards are missing, and I'm told to visit horsify.com.au

Cause: You're looking at the Subscription page inside the Horsify mobile app, where organiser plans cannot be sold.

Solution: Open the Subscription page in a web browser and buy the plan there. It applies to the app straight away.

Issue: "Organiser Admin Access Required"

Cause: You're signed in, but you aren't an admin of any organisation.

Solution: Ask an existing admin of your club to give you admin rights, then reload the page.

Issue: My trial ended and I've lost access

Cause: No payment method was added before the trial ended, so the plan stopped rather than converting.

Solution: Start the plan again from your Subscription page. It will be at the normal price β€” the free trial has been used.

Issue: I paid, but the new features haven't appeared

Possible Causes:

  • The page is still showing what it loaded before the payment.
  • Your sign-in session hasn't picked up the new plan yet.

Solutions:

  1. Reload the Subscription page and check the plan card shows the new plan.
  2. Sign out and back in.
  3. If it still hasn't changed, contact support with your organisation name and the plan you bought.

Issue: "Manage Subscription" says the portal isn't available

Cause: Your organisation is invoiced directly rather than paying by card, so there is no Stripe billing portal to open.

Solution: Contact support to change the plan, the billing details or to cancel.
