Overview
Plenty of clubs want people to join as they enter β a come-and-try day where the ticket includes a day membership for insurance cover, or a "join and enter in one go" option at the season opener. Horsify lets you link a membership type to an event ticket. When someone buys that ticket, Horsify charges the membership fee, enrols them as a member of your club, and sets their membership dates β all automatically, the moment their payment clears.
The ticket price is the membership fee: there's one charge, booked as membership revenue. You can link either a day membership (event-only cover) or an annual membership (a full season), so the same feature covers casual attendees and new full members alike.
Who this is for: Organisers who run both memberships and ticketed events and want to sell membership at the point of entry.
Key Features
- ποΈ Link any membership type to a ticket β turn a ticket into a membership on purchase
- π Day or annual β event-only cover, or a full membership term
- π³ One charge β the ticket price becomes the membership fee, charged in full
- π€ Automatic enrolment β the buyer becomes an Active member as soon as they pay
- β Extends existing members β never shortens someone who's already covered for longer
- π·οΈ Clear organiser badge β tickets that grant membership are marked in your ticket list
Before You Begin
You need at least one membership type (fee) set up for your organisation. Membership types come in two kinds, which you choose when you create them:
- Annual / standard membership β a full membership valid for your configured term (12 months by default, or aligned to your club's common expiry date).
- Day membership (event-only) β a short-lived membership that expires at the end of the event it was bought at. Perfect for casual, come-and-try attendees who need cover for the day.
You set the kind on the membership type itself. In your organisation's membership settings, each type has a "Membership kind" selector with exactly these two choices β "Annual / standard membership" and "Day membership (event-only)" β with the note: "A day membership is for casual attendees who join at an event β it expires at the end of that event. Link it to an event ticket so it's granted automatically on purchase."
π‘ Pro Tip: Create a dedicated day-membership type (for example "Day Membership β Come & Try") before you build the event. That way it's ready to pick when you set up the ticket.
Step 1: Link a Membership to a Ticket
- Open your event and go to Edit (
/events/{event}/edit). - Open the Event Tickets editor and add or edit a ticket.
- Find the "Grants club membership (optional)" dropdown. Choose:
- "None β ordinary ticket" β a normal ticket (the default).
- Any membership type, shown as its name and price (for example "Adult Member ($120)").
The helper text explains it: "When set, buying this ticket enrols the purchaser as a member of your club using this membership type β pick a day membership type for casual, event-only attendees, or an annual type to sell full memberships at the event. The ticket price is set to this membership's fee and charged in full as membership revenue."
What changes when you link a membership
Once you pick a membership type, Horsify keeps the ticket consistent with it:
- The ticket price is set to the membership fee and can't be edited separately β it shows "Set by the linked membership fee below and charged in full."
- The member price is turned off β "Not used for membership tickets β everyone pays the membership fee."
- Payment is full-upfront β deposits are disabled, because "Membership tickets are charged in full upfront."
Saved tickets that grant membership show a "Grants membership" badge in your ticket list, so you can see at a glance which tickets enrol members.
No membership types yet? If your organisation has none set up, the dropdown shows a prompt to add them in organisation settings first.
Step 2: Name the Ticket So Buyers Understand It
β οΈ Important: Horsify does not automatically tell buyers on the event page that a ticket includes a membership β the "Grants membership" badge is only visible to you, the organiser. Buyers see the ticket's name, price and description, and nothing else signals the membership.
So the buyer only knows the ticket includes membership if you say so in the ticket name and description. Name it clearly β for example "Day Membership + Entry" or "Join Today β Annual Membership" β and use the description to spell out what the buyer gets and how long it lasts.
π‘ Pro Tip: Put the term in the name. "Day Membership (covers today only)" and "Annual Membership β valid to 30 June" leave no room for confusion.
What Happens When Someone Buys
As soon as the buyer's payment clears, Horsify:
- Enrols them as a member of your club β a new Active member record with the Member role, or, if they're already a member, extends their existing membership.
-
Sets the membership dates based on the kind:
- Day membership β valid from the purchase date through to the end of the event (so a multi-day event is covered through its final day).
- Annual membership β valid for your configured term (12 months by default, or aligned to your club's common expiry date if you use one).
- Books the money as membership revenue β there's no separate membership charge; the ticket payment is the membership fee, and it's reported against membership rather than event income.
Already a member?
If the buyer already holds a membership that runs longer than the one this ticket would grant, nothing changes β they're not downgraded or double-charged into a shorter term. Otherwise their membership is extended to the later date. Existing memberships are only ever extended, never shortened.
Who can receive it
The membership is granted to the signed-in buyer's own account. In this version:
- Buyers must be signed in. If someone checks out as a guest (not signed in), the ticket is sold but no membership is granted β there's no account to attach it to.
- Dependants and family members entered on someone else's behalf don't receive the membership in this version β only the person who is signed in and purchasing does.
Best Practices
β Set up the membership type first. Create the day or annual type (with the right "Membership kind") before you build the event, so it's ready to link.
β Name and describe the ticket clearly. Buyers get no automatic "includes membership" notice β your ticket name and description are the only signal. Be explicit.
β Encourage buyers to sign in. Membership can only be granted to a signed-in account. A prompt in your description ("sign in or create an account at checkout so your membership is applied") helps.
β Use day memberships for come-and-try. They give casual attendees cover for the event and show up separately in your member list so you can track casual versus annual members.
β Check your membership fee amounts. The ticket price is taken straight from the membership fee β update the fee, and the linked ticket follows.
Troubleshooting Common Issues
Issue: A buyer didn't get their membership
Possible Causes:
- They checked out as a guest (not signed in) β there was no account to attach the membership to.
- Their payment hasn't cleared yet β membership is granted only once payment is confirmed.
- The entry was made on behalf of a dependant or family member, not the signed-in buyer.
Solutions:
- Confirm the order is paid.
- Check the purchase was made by a signed-in account, not a guest.
- If needed, add or update the membership manually from Member Management.
Issue: I can't change the ticket price
Problem: The price field is read-only on a ticket that grants membership.
Solution: That's expected β the price is set by the linked membership fee. To change it, either change the membership fee amount, or set the dropdown back to "None β ordinary ticket".
Frequently Asked Questions
Q: Does the buyer pay the ticket price and the membership fee? A: No β there's a single charge. The ticket price is the membership fee, and it's charged in full and booked as membership revenue.
Q: Can I link a day membership and an annual membership? A: Each ticket links to one membership type. Create separate tickets (for example a "Day Membership" ticket and an "Annual Membership" ticket) if you want to offer both.
Q: How long does a day membership last? A: From the purchase date to the end of the event β a single day for a one-day event, or through the final day of a multi-day event.
Q: What if the buyer is already a member? A: Their membership is extended to the later expiry date. If they're already covered for longer, nothing changes and they aren't charged into a shorter term.
Q: Can a parent buy a membership ticket for their child? A: In this version the membership is granted to the signed-in purchaser only. For junior members, use the normal membership tools β see Dependent / Child Membership.
