Setting Up Your Club Store

Audience: Club organisers and committee members


Overview

The Horsify Store lets your club sell merchandise and gear online — polos and caps, saddle pads, gifts, event tees — directly from your club website. You add products, set prices and stock, and Horsify handles the shopping cart, checkout, payments, and orders. Customers browse your store at /store on your club site, add items to their cart, and pay online or collect in person.

This guide walks you through setting up a store from start to finish: turning it on, configuring shipping and pickup, adding your first products and stock, organising them into categories, and managing the orders that come in.

Requires: An active Premium subscription ($5/month) on your organisation, and a connected Stripe account to accept payments. Both are explained under Before You Begin below.

About the screenshots: The images in this guide were captured from a demo organisation ("Brisbane Showjumping Club") in a Horsify development environment. Your own club name, branding, products and orders will appear in their place.


Who Uses This

  • Organisation admins — full access to enable the store, add products, manage stock, and process orders.
  • Customers (members and the public) — browse your store, add to cart, and check out. No account is required to buy.

Before You Begin

Two things must be in place before the Store becomes available.

Requirement Why Where
Premium subscription The Store is a Premium feature. Without it, the Store pages show an upgrade prompt. Organiser Dashboard → Subscription (/organiser/subscription)
Stripe Connect All store payments are processed through your organisation's own Stripe account, so the money goes straight to your club. Organiser → Finances → Payments (/organiser/payments)

Connect Stripe first. You can create your store and add products before Stripe is connected, but the store cannot accept payments — and stays disabled to customers — until Stripe Connect is set up. The Store Settings page reminds you if this step is still outstanding.


Opening the Store Area

There are two ways in:

  • From the Organiser Dashboard, click the Store card under Quick Access.
  • From the top navigation, open the Organiser (or Store) menu and choose Products, Categories, Orders, or Settings.

The Store hub gives you four sections:

Section What it does
Products Add and edit products, prices, images and stock.
Categories Group products so customers can shop by type.
Orders View and fulfil customer orders.
Settings Turn the store on, and set shipping, pickup and payment.

Step 1 — Enable Your Store and Configure Settings

Go to Store → Settings (/organiser/store/settings). If you administer more than one organisation, choose the right one from the Select Organisation dropdown at the top.

Turn on Store Enabled to make your store live and ready to accept orders. Then work through the settings below and click Save Changes.

General Settings

Setting Description
Store Name The name of your store (for example, "Brisbane Showjumping Club Store"). Set when the store is first created.
Description A short line shown on your store's landing page.
Store Enabled Turns the store on or off. When off, customers can't reach your store.

Shipping Settings

Setting Description
Default Shipping Fee ($) A flat delivery fee added to every posted order (e.g. 9.95).
Free Shipping Threshold ($) Orders at or above this amount ship free. Set to 0 to always charge the flat fee.
Allow Pickup When on, customers can choose to collect their order in person instead of paying for delivery.
Pickup Location Address Shown to customers who choose pickup — where and when they can collect (e.g. the clubhouse office on event days). Only appears when Allow Pickup is on.

Payment Settings

Payments always use your organisation's Stripe Connect account — there's no separate payment setup for the store. This section simply confirms whether Stripe is connected. When it is, you'll see Payment Configured; if not, connect Stripe from Organiser → Finances → Payments (/organiser/payments).

Currency and GST. Stores trade in Australian dollars (AUD). Tax follows your organisation's GST settings — if your club is GST-registered, prices are treated as GST-inclusive at the Australian 10% rate. These are set at the organisation level, not per store.


Step 2 — Add Your Products

Open Store → Products (/organiser/store/products) and click Add Product.

Quick Add

The Add a Product form creates a product, its sizes or colours, and its stock in one step.

  1. Fill in the Product details:

    Field Notes
    Product name Required — e.g. "Club Polo Shirt".
    Price (AUD) Required — the sell price, in dollars.
    Category Optional — assign it to one of your categories.
    Short description Optional — a one-line summary shown on the product card.
    More options Optional — SKU, brand, and a compare-at (was) price for showing a discount.
  2. Under Sizes & options, choose how the product is sold:

    • Single item — one product with a single stock count (e.g. a mug or a print).
    • Has sizes / options — for products that come in sizes and/or colours (e.g. S–XL, Navy/White). Horsify creates a row for each combination so you can set a SKU and stock per variant.
  3. Set Inventory & visibility: track inventory, allow backorders, an optional low-stock warning level, whether to Publish now, and whether to Feature it on your store homepage.

  4. Click Create product. You can then upload photos straight away, add another product, or open the advanced editor.

The Advanced Editor

Click Edit on any product to open the full editor, organised into tabs.

Tab What you manage
Basic Info Name, description, brand, category and tags.
Pricing Price, compare-at (was) price, and cost price.
Variants Sizes, colours and other options — one variant per combination.
Images Product photos (see Product Images below).
Inventory & Stock Stock levels per variant (see Managing Stock below).

The panels on the right let you set the product's category and sort order, toggle Published and Featured, and edit the SEO title and description that appear in search results.


Variants — Sizes and Colours

If your product comes in different sizes or colours, use the Variants tab. Set an Option 1 Label (for example, "Size"), and optionally an Option 2 Label (for example, "Colour"), then generate a variant for each combination.

Each variant carries its own SKU and stock, and can override the product's price if needed. Every product has at least one variant; single items simply have one called "Default" that holds their stock.


Managing Stock

Stock lives on each variant, not on the product as a whole — so a shirt in five sizes tracks five separate stock counts. Manage them on the Inventory & Stock tab.

For each variant you can:

Control What it does
Set Stock Replace the current stock with an exact figure (use this for a stocktake).
Add Stock Add to the current stock — handy when new stock arrives (e.g. enter 20 and click Add Stock).
Track inventory When on, Horsify counts stock down as items sell and marks the variant out of stock at zero.
Allow backorders Let customers order even when stock is zero.
Low stock threshold Show a low-stock warning once the count falls to this level.

Stock is returned automatically. If you cancel or refund an order, the items on it are added back to stock, so your counts stay accurate.


Product Images

Good photos sell products. On the Images tab, drag in or choose image files (JPEG, PNG or WebP, up to 10 MB each).

  • The first image is the primary image shown on product cards and listings. Use the arrows to reorder.
  • Add alt text to each image for accessibility and search.
  • A recommended size is around 1200 × 1200 pixels. Horsify automatically creates optimised, responsive versions (WebP with a JPEG fallback) so your store loads quickly.

Organising Products into Categories

Categories help customers shop by type. Open Store → Categories (/organiser/store/categories).

When you first enable your store, Horsify creates three starter categories — Apparel, Equipment and Accessories — which you can rename, reorder, or replace to suit your club. Click Add Category to create a new one; each has a name, an optional description, a sort order, and a published toggle. Unpublished categories are hidden from customers but keep their products.


How Your Store Appears to Customers

Once your store is enabled and you've published some products, customers can shop it at /store on your club site — no Horsify account is required to buy. The published products, prices and images you set up above are exactly what they see:

  • Store landing — a banner, a category sidebar, and a grid of product cards, each showing the product's image, name and price. Customers can search and sort (Featured, Name, or Price).
  • Product detail — a larger image, the price (with the compare-at "was" price shown when a product is on sale), a size and/or colour selector, and an Add to Cart button. Options that are out of stock are shown as unavailable.
  • Cart and checkout — customers review their cart, enter their details, choose Delivery or Pickup (when you've enabled pickup), and pay by card. Delivery adds your flat shipping fee unless the order reaches your free-shipping threshold; pickup is free and shows your collection instructions.

Featuring the Store on Your Club Site

Beyond the built-in /store page, you can showcase products on your club website's pages using ready-made content blocks — a product grid, featured products, category navigation, and a single-product showcase. There's also a pre-built Store page template. See Store Page Blocks for details.


Managing Orders

When customers buy, their orders appear under Store → Orders (/organiser/store/orders).

The tiles across the top summarise your total orders, pending and paid counts, and total revenue. Use the All / Pending / Paid / Cancelled tabs and the date and Fulfilment Status filters to find orders.

Select an order to open its details, where you can:

  • See the customer, items, address and totals.
  • Update the order status (Pending → Paid → Processing → Shipped → Delivered, or Cancelled/Refunded).
  • Mark it fulfilled and add a tracking number for posted orders — the customer is notified by email.
Order status Meaning
Pending Order placed but payment not yet completed.
Paid Payment received.
Processing Being prepared.
Shipped / Delivered On its way, or delivered.
Cancelled / Refunded Order cancelled or money returned — stock is added back automatically.

Good to Know

  • Stock is per variant. A single-item product still has one "Default" variant that holds its stock.
  • Currency is AUD; GST follows your organisation's GST settings (Australian 10% when GST-registered).
  • Publish to sell. Only published products (and published categories) appear to customers. Unpublish anytime without losing data.
  • Free shipping applies automatically once an order reaches your threshold; pickup is always free.
  • Payments go to your club via your organisation's Stripe account — Horsify never holds your store takings.
