Getting Started with Event Sponsorship

Premium Feature - Sponsor management requires a Horsify Premium subscription ($5/month, on top of an active Basic plan).

Sponsor management lets you record the businesses that support your club and events, showcase their logos on your event pages and club site, track how much they've contributed, and see how often their logos are seen and clicked.

What you can do

  • Keep a list of your sponsors with logos, websites, categories and contact details
  • Add sponsors to a specific event, or to your organisation as a whole
  • Sort them into tiers (Platinum, Gold, Silver, Bronze or General) and mark a headline sponsor
  • Record what each sponsor contributed (cash or in-kind) and whether they've paid
  • See logo impressions, clicks and click-through rate for the last 30 days
  • Preview how your sponsors will appear publicly before anyone sees them

Upgrading to Premium

Sponsor management is part of the Horsify Premium plan, which is $5/month and requires an active Basic subscription.

  1. Open your organisation's Subscription page from the organiser menu.
  2. Choose the Premium plan and complete payment.
  3. The sponsor tools unlock straight away.

Until Premium is active, the sponsor sections show an "Upgrade to Premium" prompt instead of the management tools.

Where to manage sponsors

There are two places to work with sponsors:

  • Event Sponsors - open an event for editing and expand the Event Sponsors section. Sponsors added here appear on that event's page only.
  • Organisation Sponsors - from your organisation page, choose Manage Sponsors. These are your club's ongoing sponsors; they appear on your organisation page and across your club site, and are not shown on individual event pages.

The two lists are kept separate on purpose, so a one-off sponsor of a single event doesn't become a permanent club sponsor. If a business supports both the club and a particular event, add it in both places — you can give it a different tier and amount in each.

Both use the same tools. A sponsor you create is saved to your organisation's sponsor directory, so you can pick it from the dropdown on future events (or on the organisation list) without re-entering the details.

Adding a sponsor

  1. Click Add Sponsor.
  2. If the business is already in your organisation's sponsor list, pick it from the Sponsor dropdown.
  3. If it's new, click Create New Sponsor and fill in the details (see below).
  4. Set the sponsorship details - tier, contribution amount, payment status, and whether it's in-kind or your principal sponsor.
  5. Click Save.

Creating a new sponsor

When you create a new sponsor you can enter:

  • Name (required)
  • Category - e.g. Feed & nutrition, Saddlery
  • Website and Contact email
  • Description / tagline - a short line shown alongside the logo on public pages
  • Logo - upload a JPG, PNG, WEBP or SVG up to 5 MB. Logos are automatically optimised to a compact format, and SVGs are cleaned up for safe display.

You can add or change the logo later by editing the sponsor.

Tiers and headline sponsors

Each sponsorship has a tier, shown in order of prominence:

Tier Typical use
Platinum Major / title sponsors
Gold Premium sponsors
Silver Standard sponsors
Bronze Supporting sponsors
General Other / untiered sponsors

Sponsors are grouped and sorted by tier automatically (Platinum first). Tick Principal / headline sponsor (or use the star button on a sponsor card) to lift a sponsor into a Principal Sponsor band shown above the rest. Within the same tier you can fine-tune the order using the up and down arrows on each card.

Recording contributions and payment

For each sponsor you can record:

  • Contribution amount in AUD
  • In-kind - tick this when the support is goods or services rather than cash
  • Payment status - Pending, Invoiced or Paid

The summary cards at the top of the manage view total everything up for you: total raised (split into cash and in-kind), the number of sponsors and how many are still awaiting payment.

Seeing how sponsors perform

Every time a sponsor's logo is shown or clicked on your public pages it's counted. Each sponsor card shows its impressions and clicks, and the summary cards show your total impressions, total clicks and overall click-through rate for the last 30 days. This gives you real figures to share with sponsors at renewal time.

Previewing the public view

Use the eye icon (top right of the sponsor list) to switch between the manage view and a preview of how your sponsors will look to the public, laid out by tier with logos. Switch back to the adjustments icon to keep editing.

Removing a sponsor

Open a sponsor card and use the trash icon to remove it from the event or organisation. This only removes the link - the sponsor stays in your organisation's list so you can add it again later.\n\n---\n\nSource: wiki/features/EVENT_SPONSORSHIP_GUIDE.md \nLast synced: 2026-09-07 11:49:23 UTC
