Auto-Save Event Sessions on Add

Overview

When you add a session on the Event Edit page, it's saved straight away. You no longer have to add sessions and then remember to click a separate Save Sessions button - clicking Add a session creates the session immediately, so you won't lose it if you navigate away before saving the rest of the event.

Sessions were the first part of the edit page to save themselves. The rest of a draft event now does the same: the form saves a couple of seconds after each change, and tickets save when the ticket editor closes. See Saving your changes in the editing guide. A published event still waits for Save changes, because its changes go live.


Who Should Use This Feature

Perfect For

  • Event organisers adding sessions during setup of a multi-session event
  • Anyone who has previously lost session data by forgetting to click "Save"

Prerequisites

  • You must be an organiser (Organiser Admin or Organiser Contributor) of the organisation that owns the event
  • The event must already be created (sessions are part of the edit flow)
  • The event must run as more than one session — tick Runs as more than one session under Schedule on the edit page. The Sessions section only appears then, straight after Schedule

How It Works

Clicking Add a session opens a short Add session dialog. On an event with more than one discipline it first asks which discipline runs in this session — a two-discipline day runs its dressage and its show jumping in different sessions, and the answer names the session ("Show Jumping") and decides which classes it can start with. An event with one discipline is not asked; the session is simply recorded as that discipline's. You can also choose No specific discipline for a combined day.

The dialog then offers to start the session with classes:

  • Already on this event, not yet in a session — the event's own competition classes of that discipline that no session holds yet. Tick them to move them straight into the new session.
  • New classes from the catalogue — the discipline's standard classes (for example the show jumping heights). Tick the ones you run and they are created in the session at the entry fee shown, which defaults to what the event already charges for that discipline. Member and early bird prices are set on the Competition Classes page afterwards.

Leave everything unticked to add an empty session. Either way the session is created the moment you click Add session, pre-filled with default times (the event's start time, running for one hour), and you then adjust it in place.

The session appears in the list immediately, ready to be used for class and schedule assignment. Its discipline shows in the card's Discipline picker, where it can be changed later.


How to Use

Adding Event Sessions

The Sessions section of a draft that has just been switched to run as more than one session: a "Finish setting up the sessions" checklist, a note that session changes save automatically, Schedule board and Add a session buttons, and an empty "No sessions yet" list

  1. Open the event for editing and open the Sessions section (it follows Schedule).
  2. Click Add a session.
  3. On a multi-discipline event, pick the discipline the session runs (or No specific discipline). The session name fills in from your choice; change it if you like.
  4. Optionally tick the classes the session should start with — the event's unscheduled classes of that discipline, and any from the catalogue — and set the entry fee for the new ones.
  5. Click Add session. The session row appears immediately with default start and end times and the ticked classes listed under it.
  6. Adjust the session's Start date, Start time, End date and End time. Sessions must sit inside the event's own dates.
  7. Optionally give it a Session name riders will recognise, a Description (a short label such as "Warm-up"), an Area of the venue, and a Capacity. Capacity is required when the session is Sold as a ticket; on an event whose fee is charged once per entry it is also editable on an unticketed ring, where it counts the horses entered in the ring's classes (see the Sessions section of Edit Events). Otherwise the field reads Not applicable.
  8. Repeat to add more sessions.
  9. Use Duplicate on a row to copy a session to the next day (or the same times), and Delete to remove one.

Note: Newly added sessions are saved the moment you click Add session. Changes you make to an existing session's details (times, description, capacity) save themselves a moment after you make them; the chip on the session row shows Unsaved changes…, Saving… and Saved.
