Event Analytics - Comprehensive Feature Guide

Overview

Analytics gives your organisation a single dashboard summarising the money, memberships, events and registrations across everything you run on Horsify. It answers the everyday questions: how much have we taken this quarter, how many members are active, which payment methods people use, and how registrations are trending month to month.

It is one organisation-wide view — not a separate report per event. Every figure is drawn live from your own data and updates each time you load or refresh the page.


Who Can Use This

Analytics is available to administrators of an organisation. If you are not an admin of any organisation, the page shows a message explaining that admin access is required.

If you administer more than one organisation, a dropdown at the top lets you switch between them.


How to Access

Log in and go to /organiser/analytics, or open Analytics from your organiser menu.


Choosing a Date Range

Several figures are calculated for a date range (these are labelled "range" on the page). At the top you can:

  • Pick a Start Date and End Date, then click Refresh.
  • Or use a quick-range button: Last 30 Days, Last 90 Days, or Last 12 Months.

The active range is shown just above the figures (for example, "Showing 1 Apr 2026 – 30 Jun 2026"). Counts that are not tied to a range — such as your current active member count or total events — always reflect the present.


What the Dashboard Shows

Headline figures

Eight summary cards sit at the top:

  • Revenue (range) — total taken across event and membership payments, with the number of payments.
  • Refunds (range) — total refunded, with the number of refunds.
  • Active Members — current active members, with your total member count.
  • Registrations (range) — registrations created in the range, with how many are paid.
  • Event Payments — total from completed event payments, with the count.
  • Membership Payments — total from completed membership payments, with the count.
  • Fees passed to payers — the total your payers were charged on top of your advertised prices, across event payments in the range. This card only appears if there is something to show.
  • Upcoming Events — events still to come, with your total number of events.

What "Fees passed to payers" is — and is not. This is money your payers paid, not a cost to your club. It appears only if you have turned on a setting that adds a fee to what the payer is charged (the platform fee, or the older card-processing surcharge) — you will find these under your organisation's payment settings. If your club absorbs its fees instead, nothing is added to what payers pay and the card does not appear.

It is not what Stripe charged your club. Stripe deducts its own cost from every card payment whether or not you pass a fee on, and that figure is not held in Horsify at all. To reconcile what Stripe actually took, use the payouts and balance reports in your Stripe dashboard.

Revenue by Month

A stacked column chart showing monthly revenue in Australian dollars, split into Events and Memberships so you can see where the income comes from.

Members by Type

A pie chart plus a supporting table listing each membership type, how many members hold it, and its annual fee. If no members have a membership type assigned, the chart is replaced with a short note.

Event Payments by Method

A table breaking completed event payments down by payment method, with a count and total for each.

Membership Status

A breakdown of your members: Active, Pending, Expired, Cancelled, how many are New in the selected range, and how many are Expiring within 30 days.

Events

A breakdown of your events by status: Published, Draft, Completed, Cancelled, Upcoming, and how many are Starting in the selected range.

Registrations (range)

Registrations created in the range broken down by status — Confirmed, Pending, Waitlisted, Cancelled — plus the paid-versus-unpaid split and the total value.

Refunds (range)

Refunds in the range split into event refunds and membership refunds (amount and count for each), with the combined total refunded.

Registrations by Month

A column chart showing how many registrations were created each month, so you can spot busy and quiet periods.


Tips

  • If a chart or table looks empty, widen your date range — the range may not contain any activity yet.
  • Cards and breakdowns labelled "range" change with the dates you pick; membership and event counts without that label are always current.
  • Use the Members by Type and Membership Status sections together when planning renewals, and Revenue by Month to compare seasons.
