View Registrations - Comprehensive Feature Guide

Overview
The Registration Management page gives event organisers a single place to see and act on every registration across their events. From here you can filter registrations by status, open any registration for full details, and take action — approve or reject pending entries, handle cancellation requests, mark entries as paid, resend payment links, resend confirmation emails, process refunds, and delete eligible registrations.
Purpose: Give organisers clear visibility of who has registered and a fast way to manage each entry.
Who Can Use This Feature
- Organiser Admin — full access to registrations for their organisation's events
- Organiser Contributor — access to registrations for events they manage
Prerequisites
- An organiser account with admin or contributor access to at least one organisation
- At least one event with registrations
How to Access
- Log in to your Horsify organiser account.
- Open the Registration Management page (Registrations in the organiser menu).
- If you belong to more than one organisation, choose one from the Filter by Organisation dropdown.
- Optionally choose a single event from the Filter by Event dropdown to narrow the list to that event.
When you select an event, quick links appear for that event: View Waitlist, Add Registration, Entry List, and Stabling & Yards.
Filtering Registrations
Status filters
A row of status buttons across the top lets you show only registrations in a given state. Each button shows a live count:
- All — every registration
- Pending — awaiting organiser approval
- Confirmed — approved and active
- Waitlisted — placed on the event waitlist
- Pending Cancellation — the rider has requested to cancel and is awaiting your decision
- Cancelled — cancelled by rider or organiser
- Payment Failed — a payment attempt failed
- Pending Payment — awaiting payment
Sorting and column filters
The registrations table can be sorted by any column (it defaults to newest first) and each column has a filter menu, so you can drill down by participant, event date, or status. The table is paged, with page sizes of 10, 20, 50, or 100.
On smaller screens the table is replaced by a card list showing the same information and actions.
What You See for Each Registration
Each row (or card) shows:
- Participant details — display name and email
- Event and event date
- Registered date — when the entry was submitted
- Status — a colour-coded status chip
- Notes — context such as a cancellation reason, a count of failed payment attempts, or "Payment succeeded after retry"
To see the full registration — rider, horse, class entries, payment breakdown, and any form responses — click View to open the registration detail page.
Actions You Can Take
The actions available on a row depend on its current status:
- View — open the full registration detail page (always available)
- Approve / Reject — shown for Pending registrations
- Approve / Reject (cancellation) — shown for Pending Cancellation registrations, to accept or decline the rider's request to cancel
- Mark Paid — for registrations that require payment and are not yet paid
- Resend Link — resend the payment link for entries that are awaiting or have failed payment
- Confirm Email — resend the confirmation email to the participant
- Refund — for cancelled registrations that were paid and not already refunded
- Delete — permanently remove an eligible registration (see below)
Each action opens a confirmation dialog before it is applied.
Approving and rejecting
Approving a pending registration confirms the entry and notifies the rider. Rejecting it notifies the rider that their registration was not approved. See Approve/Reject Registrations for the full workflow, including how to require manual approval in the first place.
Bulk approve / reject
Select multiple rows using the table's checkboxes. When your selection includes pending registrations (or pending cancellations), a bulk actions panel appears letting you Approve Selected or Reject Selected in one step.
Deleting
Delete permanently removes a registration and is only offered for eligible entries — for example, unpaid entries or entries an organiser added manually. Paid registrations are cancelled and refunded rather than deleted.
Exporting
The Registration Management page itself is for monitoring and managing entries, not exporting. To download entry lists (Excel or PDF) with configurable columns, use the Entry List for the event — see Entry List Exports & Running Orders.
Common Issues
A rider says they registered but I can't see them
- Make sure the All status filter is selected and no event filter is excluding them.
- Check that the correct organisation is selected.
- If the entry required payment, an incomplete payment may leave it in Pending Payment or Payment Failed rather than Confirmed.
Payment shows unpaid but the rider says they paid
- Payments can take a moment to process. If it has been confirmed on Stripe but the status hasn't updated, use Mark Paid to record it manually.
